POSITION SUMMARY

The GCHP Manager, Mailroom will report to the Senior Manager, Operations and is responsible for overseeing the daily operations of the mail room within the claims processing department. This role is responsible for managing the intake, sorting, and processing of medical claims and related documentation, ensuring compliance with regulatory standards and organizational policies. The Manager, Mailroom will possess strong leadership skills, a thorough understanding of healthcare claims processing, and a commitment to operational excellence.

ESSENTIAL FUNCTIONS

Job Function & Responsibilities

    Manage and mentor mail room staff, providing guidance and support in their daily tasks.

    Conduct performance evaluations and facilitate training programs to enhance team skills.

    Manage the receipt, sorting, and distribution of incoming claims and correspondence.

    Ensure timely and accurate processing of claims to meet organizational and regulatory deadlines.

    Develop and implement efficient workflows for mail room operations to maximize productivity.

    Monitor mail room processes and adjust as necessary to improve efficiency.

    Ensure adherence to all applicable regulations, standards, and policies related to claims processing.

    Conduct regular audits of claims processed to maintain quality and accuracy.

    Prepare and analyze performance reports related to mail room operations and claims processing metrics.

    Identify trends and areas for improvement, proposing solutions to enhance overall performance.

    Work closely with other departments, including claims adjudication, customer service, and IT, to resolve issues and streamline processes.

    Serve as a point of contact for escalated claims-related inquiries and issues.

    Oversee the use of claims processing software and mail handling equipment, ensuring proper maintenance and updates.

    Participate in the selection and implementation of new technologies to improve mail room operations

MINIMUM QUALIFICATIONS

Education & Experience: 

    High school diploma or equivalent required; BA in healthcare administration, business or related field preferred

    Minimum 5 years previous experience in a supervisory or management role of mailroom or administrative role, preferably in a healthcare or insurance environment.

Equivalent In lieu of degree: Five years of experience must be added in lieu of a bachelor’s degree.

KNOWLEDGE, SKILLS & ABILITIES
