Job Summary

Responsible for the management of multiple real estate projects including determining time frames, budgets, staffing requirements and allotment of available resources to various phases of a project. Develops and implements standard policies and procedures for locations. Provides senior management with strategies and information needed to make real estate-related decisions. Assists in identifying land and buildings for the company's operations. Manages team which may include exempt and non-exempt employees. Provides subject matter guidance to employees as required. Develops processes and procedures to drive department efficiencies, assist in development and meeting of, departmental budget.

Job Description

Core Responsibilities

  • Prepares lease abstracts and provides lease analysis and interpretation of terms and conditions. Completes audit of existing Lease Management Software (BIG Center) before implementation of new software. Drive implementation of new lease management software for all retail locations as existing software (BIG Center) is set to sunset in 2024. 
  • Maintain electronic lease documentation files; Track incoming and outgoing updated documentation.
  • Identify, maintain and track Critical Lease Dates including Date of Possession, Rent Commencement, Lease Commencement, Lease Expiration, Lease Option Dates, Construction Requirements and Documentation
  • Controlling occupancy costs by performing annual reviews of operating expenses (CAM reconciliation). Completes desktop audits and monitors audit periods and audit requirements contained in the Lease documents.
  • Monitor progress and obtain required documentation for Tenant Improvement Allowance. Invoice, collect and process Tenant Improvement Allowance payments
  • Reviews and validates Estoppel and SNDA documents in coordination with General Counsel and Real Estate Director; Execute signature process in DocuSign.
  • Prepares eCAF and coordinates execution of Lease Documentation.
  • Ensure Landlords are complying per the terms of the Lease agreement. Facilitates communication with Landlord for any Lease issues and disputes.
  • Facilitates documentation of Critical Dates, including Rent Commencement Exhibit, Date of Possession Confirmation, etc. 
  • Maintains database of Landlord contacts (Property Manager, Legal Notice Address, etc.)
  • Resolves issues for each property by researching and summarizing information about payments, lease terms and other relevant items.
  • Manage Store Development assigned projects through all project phases for both Company owned and Branded Partner locations
  • Continued project engagement while store is under construction / existing conditions, RFIs, dwg changes, permits, partner with Design Team to resolve as required
  • Track and Manage Build cost and identify trends & opportunities for improvements
  • Familiarity with Big Center and Lucernex software, as well as experience in commercial real estate preferred.
  • Consistent exercise of independent judgment and discretion in matters of significance.
  • Regular, consistent and punctual attendance. Must be able to work nights and weekends, variable schedule(s) and overtime as necessary.
