Job Details:

Under general supervision manages and performs semi-complex clerical and administrative duties for the
Division.

ESSENTIAL JOB FUNCTIONS: JOB SUMMARY:

1. Performs and reviews administrative tasks including: typing and producing correspondence, monthly/quarterly reports, maintaining and filing records. Prepares monthly billings and other financial payments, update account expenditures. Monitors, maintains and inputs data into a Code Compliance system.

2. Performs quality control functions on data entry and reports generated. Performs timekeeper duties for the division, including responsibility for collecting and processing activity sheets, daily staff attendance logs, processing, reviewing and entering payroll, and maintaining personnel files. Performs purchasing functions for division.

3. Performs customer service duties including answering telephone, and routing citizen complaints and requests. Responds with a sense of urgency to requests by citizens in a professional manner to address their needs, making customer service a high priority.

4. Updates property folders and Code system. Maintains a procurement card.

OTHER JOB FUNCTIONS:

5. Ability to maintain and order office supplies, forms, computer hardware/software, services for the office and miscellaneous equipment for division.

6. Responsible for responding to open records requests to ensure they are processed legally and in a timely manner.

7. Ability to perform any other duties as assigned.

MINIMUM QUALIFICATIONS:

Knowledge, Skills and Abilities Required:

Knowledge of office management, equipment, methods and procedures. Knowledge of business English, spelling and punctuation.

Knowledge of current Microsoft Office software products.

Knowledge of purchasing methods and procedures, including procurement cards.

Knowledge of time and attendance procedures relating to payroll.

Knowledge of basic accounting and clerical methods, forms, techniques and terminology.

Skill in typing 40-50 wpm.

Skill in processing and verifying routine documents.

Skill in making basic mathematical calculations.

Skill in communicating with other City employees and the public by written and verbal means.

Ability to work at a rapid pace with maximum interruptions.

Ability to adjust to fluctuating work levels and work schedules.

Ability to analyze and evaluate programs, policies, procedures, services and facilities in order to develop recommendations for improvements.

Ability to perform a variety of physical skills including but not limited to filing, pulling, seeing, sorting, squatting, standing, stooping, twisting body, typing, walking and writing.

Ability to work in an indoor environment.

Ability to work independent of direct supervision.

MINIMUM QUALIFICATIONS:

Qualifying Education and Experience:

High school diploma or equivalent. Some college preferred. Two years clerical/administrative experience.

Bi-lingual in Spanish and/or Vietnamese preferred.
