Classification Salary Range: $4,598 - $8,318 per month

The anticipated hiring range for this position is $4,598 - $5,416 per month.

The final salary is dependent upon qualifications and experience.

About the Department/Position:

Under the general direction of the Senior Associate Vice President for Student Life and Dean of Students (SAVP), the Administrative Assistant provides complex and confidential support to the SAVP and Student Life department. The incumbent will provide high-quality customer service to campus stakeholders and oversees student concerns often of a sensitive nature. The Administrative Assistant will collaborate with Directors in the Student Life Collective to plan and implement signature events and will work with the SAVP to develop and implement the Student Life Collective's strategic plan, professional development plan, and communication plan. Supporting the Student Life Collective Leadership Team, this person will be active in their efforts to aid this group in enhancing student engagement, creating a safe and nurturing campus environment, deepening residential living and learning programs, and strengthening co-curricular activities.

Incumbent will occasionally support events and meetings in late afternoon/evenings and occasionally respond to urgent student issues outside of regular work hours.

Overview of Duties and Responsibilities:

  • Provide a full range of varied administrative support to the Senior AVP of Student Life/Dean of Students and Student Life cluster.
  • Provide high-quality customer service to students, staff, faculty, administrators, and external stakeholders visiting the office and provide assistance in addressing problems in student affairs.
  • Ensure optimal preparation for meetings and anticipating potential obstacles and/or schedule conflicts.
  • Coordinates department meetings and appointments as well as managing the SAVP’s calendar, making independent decisions based on knowledge of priorities and goals.
  • Coordinate travel arrangements via Concur and TAP processes, reservations, plan itineraries, prepare travel authorizations, advances, and process expense claims.
  • Collaborate with Student Life Leadership Team on Student Life Collective signature events that involve students, faculty, staff, and community members.

Minimum Qualifications:

  • Bachelor's degree from a four-year college or university and/or equivalent training and three (3) years of professional related experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.

Knowledge, Skills, and Abilities:

  • Knowledge of: Correct English grammar and spelling and punctuation; modern office procedures, methods, and records management; proper customer service-oriented techniques.
  • Ability to: Manage multiple projects and tasks, determine the importance of each, set appropriate deadlines and complete all projects accordingly.
  • Skills in: Leadership, planning, organizing, coordinating, and performing work in a multifaceted environment; researching and analyzing; using software applications to prepare, tables, charts, and spreadsheets; working independently on assignments and problems.

Preferred Qualifications:

  • Master's degree from an accredited college or university with major course work in public administration, student personnel or higher education administration or related fields.
  • Experience with university administrative experience preferably in student affairs with an emphasis in student housing, student activities, residence life, or student development is preferred.
  • Knowledge of CSU financial systems (Concur, CSU Buy, PeopleSoft, and Data Warehouse).
  • Demonstrated consultative skills in working with internal and external constituent groups.
