The Work

You will manage the team supporting all public engagements for a cybersecurity focused organization. In this role you will help with the planning, logistics and on-site support for all major conferences and tradeshows. Traveling required for approximately 5–8 events per year around the United States. Experience supporting large conferences is a must, preferably IT related.

Key Responsibilities:

  • Day-to-day client lead for conference and events management and speakers bureau.
  • Cultivate and maintain client relationship to identify opportunities to provide additional support.
  • Lead regularly scheduled client meetings to provide project status updates.
  • Lead contract support for logistics and planning for CISA related conferences and events.
  • Manage and lead public engagement support team.
  • Manage all prep and planning activities for conferences, tradeshows and events, including: developing and producing conference/event plans and strategies, securing exhibit and/or meeting space, coordinating applicable collateral materials (brochures, briefing materials, signage, etc.), and developing event staffing plans and after-action reports, and providing general logistical support.
  • Manage procurement and ordering of materials for conferences and tradeshows.
  • Manage vendor support for conferences and tradeshows.
  • Manage logistics and shipping of exhibit materials from HQ to conferences and tradeshows.
  • Onsite support for up to eight (8) conferences and tradeshows per year.
  • Research information about possible room setup, audiovisual equipment, accessibility needs and services, and other on-site meeting needs.
  • Provide onsite support to include registration support, handling general information, inquiries and requests from speakers and participants, coordinating onsite logistics, and troubleshooting issues.
  • Support setup and closing down of exhibit.
  • Support presentations and assist speakers in exhibit activities.
  • Manage giveaways and swag distribution.
  • Coordinate with event managers on agendas and program changes.
  • Coordinate employee meetings such as staff meetings or team meetings.
  • Oversee daily, weekly and monthly status and post-conference reports for all team projects.
  • Support admin tasks as needed related to conferences and events.

Requirements:

  • Currently holds, or is able to obtain, DHS Fitness Determination
  • BS/BA in Marketing, PR, Communications, or equivalent experience.
  • 7+ years of event coordination/planning and/or project management experience.

Travel: Must be willing to travel up to 25% domestically to attend conferences

Job Location: Position is hybrid, must be located in Washington D.C. area and able to commute to client site in Arlington, VA as needed (potentially one day a week).
