Position Title: Records Coordinator: Graduate & International
Appointment: Full-Time; 40 hours per week; 12 months
Status: Non-exempt (Hourly) $14.00
As a member of the Enrollment Operations team and reporting to the Assistant Director of Admissions Operations, the Records Coordinator will be responsible for maintaining Graduate and International student records. The coordinator receives and processes application material and will perform administrative support duties such as answering phones, relaying calls, and messages, scanning documents, data entry, filing (physical and digital), providing information, etc. The coordinator should maintain current knowledge of all relevant policies, procedures, and/or requirements related to admissions, records, and/or registration activities.
Characteristic Duties and Responsibilities
Point of contact for graduate and international application process
Maintain applicant records and files.
Enter and maintain student data in database.
Evaluate student credentials, including transcripts.
Communication with applicants, departments, and campus offices regarding University and Admission regulations and policies
Communicate with students regarding their application status.
Perform other related duties as assigned.
Minimum Qualifications
A basic understanding of functional/department resources and business practices
Excellent skills in written, verbal and personal communications
Strong organizational skills and ability to set priorities.
Ability to productively work/interact with diverse groups of people.
Work with sensitive information.
Skill with word processing, spreadsheets, and database management applications
Proficient in computer operations and programs including Microsoft Office Suite
Work independently and exhibit sound/accurate judgment.
Ability to draft correspondence and reports.
Editing and proofreading skills
Ability to manage multiple projects and tasks simultaneously and on deadline.
Preferred Qualifications
Experience with record keeping and data management.
Two years office or related experience
Knowledge of CRM (customer relationship management) systems
Working Conditions
Monday – Friday, 8:00 a.m. – 5:00 p.m. Evenings and weekends occasionally required.
Mental/Physical Requirements
Selected candidate must have the mental and physical capabilities to perform the essential functions of the position with or without reasonable accommodation. Work is mostly performed in a normal office environment with little exposure to outdoor temperatures or dirt and dust. Working conditions are typically moderately quiet.
