Job Summary

Langan Information Technology department is seeking an Administrative Assistant to join its collaborative team in Parsippany, NJ. This individual will serve a key function in providing administrative support to the Chief Information Officer and the Information Technology department. In this role, you will possess outstanding organizational skills, demonstrate the ability to work well independently, and be able to prioritize and handle multiple tasks effectively and efficiently with a high degree of attention to detail.

Job Responsibilities

  • Provide general administrative support to the Chief Information Officer and the Information Technology department to ensure successful workflow;
  • Establish, update and maintain files, databases, contact information, records and other documents;
  • Handle basic bookkeeping tasks, prepare financial analysis, reports, memos, letters, and other documents;
  • Answer phones and route calls to the correct person or taking messages/log tickets;
  • Maintain department calendars, schedule conference rooms and coordinate meetings, appointments and travel arrangements;
  • Assist executive leadership in tracking key operational metrics by organizing and compiling data, researching facts, and coordinating information retrieval to prepare documents for review and presentation by boards of directors, committees, and executives;
  • Coordination of meetings, capture of meeting minutes, creation of PowerPoint presentations, coordination of monthly reporting, etc.;
  • Arrange off-site meetings, events, appointments & travel for departmental leadership with supporting materials as needed; and
  • Ensure that department leadership is informed of priorities, deadlines and challenges.

Qualifications

  • High school diploma or GED; undergraduate degree with Business or Computer Science related curriculum preferred;
  • 2+ years prior related experience, preferably within an IT environment;
  • Sound judgment capability and ability to maintain confidentiality;
  • Professional level written and verbal communication skills;
  • Strong attention to detail with excellent analytical, multitasking, and judgment capabilities;
  • Proficient in Microsoft Outlook, Microsoft Word, Microsoft Excel, PowerPoint, Microsoft Visio, Microsoft Project and Adobe Acrobat;
  • Must be able to meet deadlines in a fast-paced quickly changing environment and demonstrate on a consistent basis initiative, professionalism, poise and flexibility and work within an environment of frequent interruptions, conflicting priorities, and varying workloads; and
  • Available at various hours for business-related tasks during regular business working hours and periodically during off-hours (evenings and weekends).
