About the role

Summary

This position will serve as the Senior Coordinator for Business Operations for the Senior Dean's office and support the School of Medicine (SOM) and Health Professions and the Education Cores. 

 

Baylor College of Medicine School of Medicine offers programs that cover the learning continuum from Undergraduate Medical Education (UME), Graduate Medical Education (GME) to Continuing Professional Development (CPD).  In addition, SOM also offers MD/PhD and Baccalaureate/MD programs. Commencing with Academic Year 2023-2024, the UME program will expand to Temple, Texas (BCM Temple), in of partnership with Baylor Scott and White Health (BSWH).  
Baylor College of Medicine School of Health Professions offers 4 programs: Physician’s Assistant; Orthotics and Prosthetics; Genetic Counseling; Doctor of Nursing Practice-Nurse Anesthesia. The Education Cores are comprised of the Anatomy and Willed-Body program and the Simulation Lab. 

 

This position offers the flexibility of a hybrid work schedule to be determined after 90 days of employment.
 

Job Duties

• Serves as the subject expert for all procurement processes and applications for the Senior Dean’s office and all 11 divisions. Provides trainings and updates best practices documents and communicates regularly. 
• Actively collaborates with divisional leadership, the Executive Director, and the Finance Operations Lead on the business operations needs within the Senior Dean’s office and each division.
• Responsible for the monthly financial management analysis and reconciliation process of the teaching roles within the School of Medicine.
• Responsible for purchasing, travel, and business operations for Sr. Dean’s office.
• Monitors financial activity (blocked invoices, PO’s, Concur expense issues, etc.) in collaboration with the Finance Operations Lead by compiling, reviewing, and reconciling financial accounts for all divisions. 
• Reviews expenditures from fund sources to verify accuracy, need, and compliance with internal processes and BCM policies.
• Ensures the ongoing review and development of process improvements to maximize business productivity.
• Leads other special projects as needed and assigned by the leadership in the Senior Dean’s office.
• Serves as an interim support team member for vacancies in any of the 11 divisions under the Senior Dean’s office. 
• Coordinates department meetings, events, retreats, and other functions for divisional Dean's as needed.
 

Minimum Qualifications

  • High School diploma or GED.
  • Four years of relevant experience.

Preferred Qualifications

  • Bachelor's Degree.
  • Experience with Concur, Jaggaer.
  • Professional healthcare or educational setting experience.
