Role Description
The Clinician Staff Coordinator works with clinical and operations leaders across the medical departments of the SF SPCA to schedule and support staff and relief veterinarians and ensure optimal staffing and scheduling. The Clinician Staff Coordinator is responsible for recruitment, scheduling and on-boarding of clinical staff. This position coordinates the Society’s mentee, student extern and intern programs (once these resume) and provides administrative support for hospital compliance, payroll and continuing education. This position reports to the Chief Medical Officer on an interim basis.
Core Responsibilities
Scheduling:
- Develop and manage schedules for clinical staff and relief veterinarians.
- Coordinate leadership, administrative, and continuing education meetings.
- Respond to real-time staffing needs, including weekends and holidays.
- Oversee new clinician administrative onboarding and training schedules.
Recruiting:
- Build a pipeline of talent through various sourcing channels.
- Engage passive candidates and screen potential hires.
- Support the relief hiring process, including rate discussions.
Onboarding and Training:
- Guide new hires on scheduling, appointment structure, and benefits.
- Train clinical staff on the Practice Management System (PMS).
- Manage veterinary student and mentee programs.
Clinician Support/Administration:
- Submit and approve clinician payroll and relief veterinarian invoices.
- Track continuing education benefits and licensing renewals.
- Manage ID badges, parking passes, and professional organization memberships.
- Assist with expense reports and time-off requests.
Customer Service:
- Provide compassionate, non-judgmental service to clients and staff.
- Promote SF SPCA’s mission and services.
Requirements
- Bachelor’s degree preferred.
- Minimum of three years of administrative or project management experience, preferably in a medical or customer service environment.
- Strong organizational and detail-oriented skills.
- Proficiency in Microsoft Office and the ability to learn veterinary software systems.
- Excellent communication and conflict-resolution abilities.
- Ability to manage multiple tasks and adapt to changing priorities.
- Experience in animal welfare or veterinary medicine is a plus.
- Understanding of veterinary terminology and procedures is beneficial.
Physical Requirements and Work Environment:
- Work is performed in an animal hospital with potential exposure to anesthetic gases and other chemicals common to a veterinary setting
- Regularly sits at a computer and operates electronic equipment
- Regular standing, bending, stooping and crouching.
- Occasional travel to the Community Veterinary Clinic location.
- Regularly moves about the campus to coordinate work.
- Regular exposure to animals under stress.
- Consistent exposure to animals in the workplace and animal allergens under conditions with limited alternatives available.
Salary & Benefits
The starting salary for this position depends on the depth and breadth of experience. The expected range is $63,000-$70,000.
