The Department of Internal Medicine is a nationally recognized department with distinguished faculty, innovative research programs, and a strong commitment to education and clinical excellence. The department is seeking a highly organized, proactive, and professional Associate to the Chair to provide high-level administrative and operational support to leadership within the Office of the Chair.
This position serves as a trusted administrative partner responsible for coordinating complex activities, supporting leadership initiatives, managing sensitive and confidential information, and ensuring efficient day-to-day operations within a fast-paced academic medicine environment.
Essential Functions
• Provide high-level administrative and operational support to leadership within the Office of the Chair.
• Coordinate complex calendars, meetings, and scheduling activities for departmental leadership.
• Develop and manage candidate interview itineraries and logistics for faculty and leadership recruitment activities.
• Coordinate and support search committee meetings, including scheduling, communications, and meeting materials.
• Process travel arrangements, reimbursements, and related documentation for faculty and administrators.
• Prepare correspondence, reports, presentations, memos, and other professional documents as requested.
• Serve as a liaison between departmental leadership, faculty, staff, university offices, and external partners.
• Assist with special projects, operational initiatives, and departmental events.
• Support the development, implementation, and maintenance of administrative processes and operational procedures.
• Maintain confidential and sensitive information with professionalism and discretion.
• Monitor and track action items, deadlines, and follow-up activities to support departmental priorities.
• Provide administrative support to departmental leadership and administrative teams as needed.
• May assist with onboarding and coordination of student workers or support staff.

Required Education
- Bachelor's Degree in a related field.
- Eight (8) years of relevant work experience and/or other specialized training can be used in lieu of education requirement.
Required Experience
- Four (4) years of experience in a related field. Experience may require one (1) year supervision.
