Northrop Grumman Space Systems has an opening for an Administrative Assistant - Level 4 to join our team of qualified, diverse individuals. This position will be located in Redondo Beach, CA, reporting to a director within the Intelligence & Sensing (I&S) business unit.

*This position is contingent upon the candidate obtaining final clearances and program access(es) within a reasonable period of time as determined by the company. Continued employment thereafter will be subject to maintenance of the level of clearance and program access required for the position in the future.*

We are seeking an independent thinker with a track record of excelling in a dynamic, multi-faceted, and collaborative team-based environment. The position requires excellent communication skills, an ability to multi-task and organize/prioritize tasks independently, strong office management and interpersonal skills, self-motivation, and the ability to collaborate in a team environment. The selected candidate should have the ability to act with discretion and good judgment when handling or disseminating sensitive, confidential, or proprietary information.

In this role you will:

  • Make travel arrangements for international and domestic travel, prepares expense reports and maintains pertinent travel documentation.
  • Answer questions and solve problems related to office operations and established policies and procedures
  • Performs office functions, including (but not limited to):
    • Setting up and maintaining files
    • Arranging meetings and conferences
    • Managing and synchronizing Outlook calendars
    • Coordinate on-boarding of personnel
    • Coordinate office workspace planning, ordering office equipment with the facilities and IT organizations
    • Receiving, referring, or answering mail
  • Collaborate with administrative professionals in related organizations, as appropriate.
  • Support coordination and integration of meeting material from team
  • Support onboarding activities for new hires including but not limited to seating arrangement, ordering of IT hardware,
  • Interface with all levels of Program personnel and Customers
  • Process visit requests, badges and accounts forms
  • Support special event planning and catering, such as meal planning, ordering food from caterers, delivering food, clean up and expensing

Basic Qualifications:

  • High School diploma or equivalent and 6 years additional education and/or related experience.
  • Strong written and verbal communication and collaboration skills with proven success in organizing, prioritizing, and completing assigned responsibilities.
  • Must be proficient with MS Office Suite (Word, Excel, PowerPoint, Outlook)
  • Ability to organize, maintain, and deconflict schedules, meetings, and travel arrangements
  • Proactive, highly motivated and adaptable, with excellent organizational skills including the ability to juggle multiple tasks, changing needs, and competing priorities across a geographically dispersed team.
  • Ability to work on site full time in Redondo Beach, CA
  • Active SCI clearance

Preferred Qualifications:

  • Bachelor’s or Associate degree.
  • Experience and proficiency with Concur (or similar) travel and expense reporting system.
  • Experience and proficiency with Smart-Buy.
  • Experience managing and synchronizing calendars between unclassified and classified environments
