Purpose

 Communication between faculty members and their research group in order to create and complete purchase orders, travel authorizations, and reimbursements, as well as other purchasing vouchers. Maintain account information via UT Box, and aid in managing GRA appointments.

Responsibilities

  • Provides administrative support for research staff and students. Maintains and reconciles all research accounts, follows budgets, provides financial information as needed, and prepares funding agency reports. Prepares correspondence, technical reports/papers, and faculty annual reports. Manages financials and budgeting of the accounts for UT faculty members.  Procurement: Sourcing, contracts, and sole source; transfers, procurement card reconciliation, purchase orders, and payment vouchers.  Prepares RTAs and makes travel arrangements for UT faculty and students.

  • Processes travel reimbursements as well as other types of reimbursements, payments to vendors, and purchase orders. Processes researchers, students, and some faculty assignments, including immigration paperwork/visas. Processes tuition and scholarships for students. Manages event planning. Schedules and organizes research meetings, seminars, workshops, conferences, etc.. Performs other related duties as assigned.

Required Qualifications

Bachelor's degree and three years of clerical experience, including one year of experience at either the Administrative Assistant or the Administrative Associate level, or high school graduation or GED, and seven years of clerical experience. At least 3 years of experience with UT *DEFINE, and UT Direct purchasing applications. General knowledge of UT Travel rules. Excellent communication skills, verbal and written. Solid computer experience. Regular and punctual attendance.

Preferred Qualifications

5 years of experience in UT purchasing and voucher processing

Hourly Rate

$25.00 + depending on qualifications

Working Conditions

  • Attire: Business Casual

  • Standard Office Environment, Repetitive use of keyboard at a workstation

Work Shift

  • Hours per week - 40

  • There is some flexibility in work hours; for example, one could work from 7a to 4p; 8a to 5p
