General Summary

  • The Lead Medical Office Secretary is responsible for training and orienting the medical office secretaries and the medical assistants for the PCRMC Medical Group.

Essential Duties and Responsibilities

  • Provides clerical orientation and formal clerical training for medical office secretaries and medical assistant employees by following established guidelines and policies.
  • Provides retraining through observation, monitoring, and as directed by management to ensure proper procedures.
  • Performs established annual medical office secretarial competencies on all medical office secretary and medical assistant employees, and ensures they are completed within the allotted timeframes.
  • Provides float coverage and clerical assistance in all areas to ensure proper staffing and training. Routinely works in all clinics to ensure consistency in procedures for multiple clinics.
  • Detects problem areas by monitoring secretarial operations by observing and working with secretaries. Makes recommendations to reduce errors, improve work habits, and update procedures.
  • Recommends, communicates, trains and positively promotes changes in policies and procedures within the organization.
  • Seeks to improve customer satisfaction by monitoring and observing medical office secretaries and medical assistants.
  • Focuses training and communication to the individual learning needs of the medical office secretary or medical assistant to ensure optimal results.
  • With the Assistant Director develops the Medical Office Secretary Preceptor program for orientation, training, ongoing support and follow up. Serves as an ongoing member of this committee and attends as well as being a leader of this meeting.
  • Performs the duties of a medical office secretary to maintain skills and coverage for the clinics.

Education

  • High school diploma required. Associate of Arts in Business or Healthcare related preferred.


Work Experience

  • Minimum two years medical office secretary and/or a like position with a focus on customer service and collections experience required. Demonstrated knowledge and confidence in all medical office secretary responsibilities required.


Certification/License

  • None required.

Mental/Physical Requirements

  • Considerable mental concentration required. Lifting up to 15 lbs. Standing, turning, carrying, pushing, pulling, stooping, crouching, twisting, and reaching.


Working Conditions

  • Medical office environment. Potential exposure to infectious disease and hostile persons at times. Minimal physical discomfort.
