Your Role:
The Senior Executive Assistant to the CEO will provide comprehensive executive support while serving as a trusted business partner to the CEO. This role combines exceptional administrative excellence with strategic business acumen, requiring someone who can manage complex executive operations while contributing valuable insights to business initiatives. The ideal candidate will serve as the CEO's operational backbone and strategic sounding board, ensuring seamless executive function while supporting key organizational priorities. This is a highly visible and impactful role, interacting with internal and external stakeholders including Board of Trustees, Major Donors, the executive team, senior management, and external consultants.
The ideal candidate is a proactive, self-starter with exceptional communication skills, meticulous attention to detail, creative problem-solving skills, and proven experience working with C-Suite executive teams in a fast-paced environment. This role requires a highly resourceful team player who seeks continuous improvement and is comfortable working independently, sometimes under pressure while remaining professional, flexible, proactive, aligned, and efficient.
Critical decision-making skills, with the ability to handle sensitive information with excellent judgment, diplomacy, and discretion are necessary for success.
Expected Compensation Range: $110,000 - $125,000 /annualized. Exact salary determined by experience and education related to the role, organizational compensation structure, and internal equity.

Your Responsibilities:
Executive Administrative Management
- Manage the CEO's complex calendar with strategic prioritization and stakeholder coordination
- Plan comprehensive travel arrangements including itineraries, agendas, and meeting documentation
- Screen, prioritize, and manage all incoming communications, calls, and meeting requests.
- Prepare meeting materials, agendas, and briefing documents for executive and board meetings
- Handle expense management, invoicing, and financial administrative tasks
- Maintain organized digital and physical filing systems for confidential executive materials
- Coordinate executive office operations and interface with internal and external stakeholders
- Anticipate and proactively suggest ways to enhance the quality and efficiency of work and implement them when appropriate
- Identifying areas of improvement across the organization and making actionable recommendations
Communication & Relationship Management
- Screen, prioritize, and manage all incoming communications, calls, and meeting requests using independent judgment.
- Maintain external contact relationships, tracking periodic communication needs and follow-up requirements.
- Represent the CEO professionally with visitors, company functions, and stakeholder interactions.
Donor Relations & Development Support
- Coordinate with internal teams and donors to ensure regular CEO connection with major donors and donor prospects
