Washburn Center for Children is a leading children’s mental health center, caring for a wide variety of children’s needs associated with anxiety, depression, behavioral difficulties and trauma. The 141-year-old nonprofit offers critical mental health intervention to help children - and their families - realize hope. Washburn Center for Children serves almost 4,000 children ages 0-18 and approximately 9,000 family members each year. Washburn Center’s three office locations – Brooklyn Park, Edina, and Minneapolis – serve the entire Twin Cities metro area. The nonprofit also offers in-home services, and its school-based program serves 50+ schools in the Eden Prairie, Bloomington, Minneapolis, Savage, Burnsville and Eagan school districts.

This position is responsible for managing the Electronic Health Records (EHR) system (Credible) and other clinical systems. Responsibilities include supporting staff in their use and understanding of the EHR system and its mobile application, troubleshooting with staff to find solutions to system-related issues, working in conjunction with the Billing and other Systems Coordinators to ensure a seamless link between the data and clinical modules of the system, completing quality assurance related to services entered in the EHR, and conducting training and onboarding of staff.
Maintain current EHR system (Credible)· Act as the administrator for the EHR, which includes but is not limited to:o Troubleshooting EHR issues including those related to billingo Client service management (i.e. moving, deleting, resolving, approving, cloning)o Partnering with Medical Records to complete their requestso Adding/editing schedule groupso Completing daily and weekly quality assurance tasks and reports· Manage EHR Help Desk by responding to task tickets and emails related to end-user difficulties in the EHR· Manage and update SharePoint training materials and pages related to the EHR· Work cross-functionally with the billing, database, intake, and program support teams to maintain high quality documentation required for timely reimbursement· Collaborate with the quality/assurance, compliance, and IT teams to identify areas for improvement and implement as necessary· Manage system updates/changes including ensuring data integrity, testing, coordinating meetings, providing training, and developing communication plans· Complete assigned projects and project tasks from direct supervisor and project teams
Employee Profiles· Manage onboard and offboard processes by setting up and deactivating employee profiles at time of hire and termination (in Live and Training domains)· Collaborate with HR and Staff Changes team to update and manage employee profiles (in Live and Training domains) including but not limited to:o Leave of Absence(s)o Internal employee changeso Supervisor changes
Conduct Quality Assurance· Review and approve services for billing and compliance· Ensure services are entered correctly and help to fix mistakes/errors· Provide reminders to clinical staff regarding required documentation· Manage the process (including data collection and follow-up) for supervision plans for clinical staff· Maintain a basic understanding of clinical services, documentation, billing, and governing rules (state and federal)· Partner with the EHR and Clinical Systems Supervisor or other compliance team members to test processes
Staff Training· Provide onboard training for new staff (clinical and admin) on basic functionality of the EHR system· Provide training on how to use the EHR Help Desk· Provide other trainings as needed related to the EHR· Act as back-up trainer to other EHR trainers if they are unable to conduct their specific team/program designated trainings
Internal and External Coordination· Attend and participate in weekly QAT meeting by leading and taking notes· Attend and participate in monthly Credible Trainer meeting by taking notes· Attend annual Credible conference· Attend and participate in Credible MN User Group Partnership meetings· Maintain knowledge on Credible, electroni
