JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Aide provides administrative support for faculty members within the Department of Obstetrics and Gynecology, including the Program Director for the Residency Program and other assigned faculty .  

  1. Assist with maintaining the calendar and scheduling meetings for the Director of the Residency Program and other departmental faculty. 
  2. Coordinates meetings and events with University-related affiliates. 
  3. Schedules appointments and arranges meetings and speaking engagements for the Director of the Residency Program and other faculty. 
  4. Schedules and coordinates meetings, events, interviews, appointments, and/or other similar activities for supervisors, which may include coordinating travel and lodging arrangements. 
  5. Maintains surgical schedules for the OB/GYN Department.
  6. Coordinates residents’ recruitment, annual reviews, tracking periodic evaluations and duty hours. 
  7. Assists with maintaining active resident academic files. 
  8. Assists with annual resident interview and RRC accreditation reviews; coordinates annual mock Board oral exam for the residents; translates and reports results. 
  9. Maintains all time sheets and leave requests for the Director of the Residency Program and the other assigned faculty; processes travel paperwork
  10. Processes all clinical faculty and staff volunteer appointments and paperwork. This includes affiliated faculty applications, appointments, and hiring paperwork.
  11. Enters all travel, time, and accounts payable, answers department phones, orders supplies, prepares housekeeping and maintenance requests, and acts as liaison between various hospitals and staff members.  
  12. Performs other related duties as assigned.

MINIMUM REQUIREMENTS:  

EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)

EXPERIENCE: Two (2) years of administrative support experience; OR Associate’s Degree in lieu of experience. (Experience in a healthcare or higher education environment preferred).

KNOWLEDGE, SKILLS, AND ABILITIES: 

  • Excellent interpersonal skills with the ability to communicate effectively and professionally. 
  • Ability to complete various forms designed by UT for Finance and Payroll. 
  • Detailed knowledge of the responsibilities, and functions of the position.
  • Excellent oral and written communication skills.
  • Knowledge and experience with FileMaker Pro, Excel, Word, and PowerPoint. 
  • Good editing and organizational skills.
