JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Aide provides administrative support for faculty members within the Department of Obstetrics and Gynecology, including the Program Director for the Residency Program and other assigned faculty .
- Assist with maintaining the calendar and scheduling meetings for the Director of the Residency Program and other departmental faculty.
- Coordinates meetings and events with University-related affiliates.
- Schedules appointments and arranges meetings and speaking engagements for the Director of the Residency Program and other faculty.
- Schedules and coordinates meetings, events, interviews, appointments, and/or other similar activities for supervisors, which may include coordinating travel and lodging arrangements.
- Maintains surgical schedules for the OB/GYN Department.
- Coordinates residents’ recruitment, annual reviews, tracking periodic evaluations and duty hours.
- Assists with maintaining active resident academic files.
- Assists with annual resident interview and RRC accreditation reviews; coordinates annual mock Board oral exam for the residents; translates and reports results.
- Maintains all time sheets and leave requests for the Director of the Residency Program and the other assigned faculty; processes travel paperwork
- Processes all clinical faculty and staff volunteer appointments and paperwork. This includes affiliated faculty applications, appointments, and hiring paperwork.
- Enters all travel, time, and accounts payable, answers department phones, orders supplies, prepares housekeeping and maintenance requests, and acts as liaison between various hospitals and staff members.
- Performs other related duties as assigned.
MINIMUM REQUIREMENTS:
EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)
EXPERIENCE: Two (2) years of administrative support experience; OR Associate’s Degree in lieu of experience. (Experience in a healthcare or higher education environment preferred).
KNOWLEDGE, SKILLS, AND ABILITIES:
- Excellent interpersonal skills with the ability to communicate effectively and professionally.
- Ability to complete various forms designed by UT for Finance and Payroll.
- Detailed knowledge of the responsibilities, and functions of the position.
- Excellent oral and written communication skills.
- Knowledge and experience with FileMaker Pro, Excel, Word, and PowerPoint.
- Good editing and organizational skills.
