Essential Duties And Responsibilities

Within a team environment, this position will perform the following responsibilities:

Supervision and Mentorship (50%)

  • Direct team in meeting project goals and requirements, addressing challenges and communicating updates with all stakeholders and senior leadership, while ensuring adherence to project timelines and quality standards, using project management best practices.
  • Support managing workload and team resources, strategically assign roles and tasks to team members based on strengths and skill set, ensuring that the project teams understand their responsibilities and delegated tasks.
  • Set performance goals, monitor team productivity, performance manage the team, and provide constructive feedback, training and mentorship.
  • Foster a collaborative and positive work environment that values efficiency and promotes professional growth.

High-level Project Management (25%)

  • Oversee large-scale projects, ensuring timely delivery and quality outcomes. Provide insight to key stakeholders and project sponsors by developing project goals and ensuring that deliverables meet quality, customer service, and compliance standards.
  • Perform risk management, creating solutions where applicable, and report and escalate any identified risks to management as needed.
  • Coordinate budgetary objectives related to assigned team projects, including supervision of procurement processes. Along with senior leadership, coordinate and plan annual budgeted InfoTech and Facilities-related projects, ensuring financial compliance.
  • Measure and track project performance using appropriate tools and techniques to analyze project successes and challenges, to inform lessons learned repositories and recommend improvements.
  • Develop and refine project management plans, tools, and templates.

Business Analysis (20%)

  • Collaborate with cross-functional teams to optimize technical and business process efficiency and make recommendations for improvement and innovation.
  • Maintain knowledge of multiple business areas within the agency and familiarize oneself with regulatory frameworks (e.g., HIPAA, FERPA) impacting agency contracts.
  • Demonstrate and support others in the use of analysis tools (e.g., traceability matrices, etc.) and ensure that project objectives, scope, requirements, and design are in alignment.

Business Administration (5%)

  • Support business continuity and disaster recovery (BCDR) administration, including data security incident management.
  • Facilitate business development pipeline planning and assist in alignment of projects with strategic goals and Key Performance Indicators (KPIs)

Non-Essential Duties And Responsibilities

These duties include tasks that are required and comprise less than 5% of daily functions for this job:

  • Participate in departmental, agency and professional meetings and workgroups, as assigned.
  • Provide presentations and reports, as needed, on recommendations and various technology topics.
  • Assist in preparing and maintaining written instructional material for users.
  • Participates in and makes presentations to staff, executive team, committees, and agency Board of Directors, and other public agencies as needed.
  • Track and analyze trends in the work of the department, make recommendations for changes and new directions as needed.
  • Periodic assistance with event planning.
  • Attend conferences and training as required to maintain proficiency
  • Other duties as assigned.

Job Specifications

Minimum Required

  • Education: Bachelor’s degree in business, information technology/computer science, communications, or related field, or equivalent experience.
  • Experience: 3-5 years' experience in project management.
  • Professional/Technical Certifications: n/a 
  • Technical Requirements:
    • Competency in Microsoft applications (i.e., Word, Excel, Outlook, PowerPoint, Teams, OneNote, One Drive, etc.)
    • Project management applications, such as Wrike (or similar).
