Job Description
This position sits within Media Group Decision Sciences, a team with a charter to provide valuable insights that enable decision-making across NBCU’s TV networks, FAST channels, and Peacock. The role will traverse the many distribution avenues that put NBCUniversal’s content on screen in front of audiences. Key areas of focus include strategy for the company’s portfolio of FAST channels, as well as opportunistic partnership evaluation in streaming.
Role Overview:
The Executive Assistant is a full-time position in NBCUniversal's Decision Sciences organization and provides administrative support to the Chief Data Officer. The ideal candidate excels in managing competing priorities in a fast-paced environment, balancing long-term projects with day-to-day tasks. You will have a keen eye for detail, the ability to solve problems proactively, and a professional demeanor, ensuring the CDO is fully supported and well-prepared for all engagements. This role’s day to day responsibilities include:
- Calendar & Schedule Management: Proactively manage and coordinate the CDO's daily schedule, calendar, travel, and meetings (internal and external), ensuring flexibility and persistence in rescheduling as needed to meet changing priorities.
- Communication & Liaison: Serve as the first point of contact for high volumes of communication (phone and email), determining the importance of requests and facilitating smooth, effective communication between the CDO and senior management.
- Meeting & Event Coordination: Lead the preparation and follow-up for meetings and events, including scheduling, AV setup, telepresence logistics, preparing presentations, agendas, materials, and coordinating food and drinks when necessary.
- Document & File Management: Oversee department files, including electronic document systems, wikis, and project management tools, ensuring organized, accessible, and up-to-date records.
- Office Administration: The Candidate should exude confidence and poise, show respect to others, and maintain a steady presence at work. They will manage general office tasks, including ordering supplies, managing memberships and subscriptions, photocopying, faxing, and handling deliveries to support the smooth operation of the department.
- Project Management & Special Assignments: Manage special projects and provide support to other department members as needed, acting as a backup for other assistants and coordinating with global Executive Assistants when required.
- Confidentiality & Discretion: Handle confidential information with care and discretion, always maintaining trust and professionalism, and proactively managing relationships to ensure the CDO is fully supported.

Qualifications
- Minimum of 8 years of experience in an executive support role, with a proven track record of managing complex schedules, travel arrangements, expenses, and meetings for senior leadership with precision and minimal error.
