About the role

The Business Center Clerk is a customer service-oriented individual who is responsible for the proper scheduling of procedures, verification of patient insurance coverage, patient registration processes, medical record processes, coordination of communication with providers and provider offices, coordination of communication with ancillary services (ex:  radiology), coordination of communication between patients, visitors, providers, and Surgi Center staff. This is a very important position that requires excellent customer service skills, critical thinking and processing skills, ability to perform multiple simultaneous tasks with accuracy and efficiency, professional appearance, and positive attitude. 

Education & Experience: 

  • High school diploma or equivalent required. 
  • Minimum one (1) year medical front office or hospital clerical experience is preferred.
  • Prior experience in ambulatory surgery center is preferred.
  • Medical office / surgery center functions (including scheduling, insurances, etc.) and processes acquired though one or more years of work experience.

Knowledge & Skills:

  • Strong interpersonal, verbal, and written communication skills to effectively interact with wide range of audiences.
  • Competent in the use of basic office equipment including computer, printer, scanner, telephone, fax.
  • Excellent telephone, clerical and organizational skills with attention to detail required.
  • Commitment to excellence with high integrity and motivation for success.
  • Bilingual English and Spanish are preferred.
  • Ability to manage multiple tasks simultaneously with minimal supervision and ability to work independently.
  • Experience and strong working knowledge of Excel, Word, PowerPoint, and other common office software, word processing and spreadsheet software, medical terminology, electronic health record (EHR) and scheduling systems.

Position Responsibilities

Front Desk Responsibilities:

•      Answer incoming telephone calls in professional manner, handling calls if applicable and otherwise routing calls to the appropriate party or takes message.

•      Responsible for front office and receptionist duties, including, but not limited to patient check in, performing data entry activities, provide patients and / or visitors with appropriate information, obtain necessary signatures, perform daily closing and reconciliation duties, order supplies.

•      Greet patients and visitors in courteous and professional manner, verifies patient demographic, insurance, and contact information.  Register patients in Vision scheduling program on date of service.  Collect patient insurance card and identification, scanning into Vision system. 

•      Coordinate smooth patient experience from check in to discharge.

•      Perform patient reminder calls on business day prior to scheduled procedure.

Procedure Scheduling Responsibilities:

•      Enter patient and case data into Vision scheduling module as booking sheets are received from provider offices.

•      Resolve any data discrepancies with provider offices related to procedure or patient scheduling information.

•      Manage OR schedules to optimize patient and provider flowscheduling patient procedures, confirming appointments, and educating patients to ensure they are properly prepared for visit.       

Insurance Verification Responsibilities:

•      Verify insurance benefits and coverage, validate referrals and authorizations as necessary.

•      Collect patient liability (co-payments or other financial responsibility) on date of service, provide receipt, and provide financial guidance to patients in coordination with Accounts Receivable Manager.    

•      Coordinate with Accounts Receivable Manager on daily basis to ensure patient insurance information in Vision scheduling system is accurate prior to date of service.  

Medical Records Responsibilities:

•      Build patient medical record charts prior to procedure.

•      Create, file, and retrieve patient medical records, ensuring proper security measures, maintaining confidentiality at all times, following HIPAA requirements.

•      Ensure required documents are received and documented in patient’s medical record chart, such as physician orders, history and physical, etc. and scanned to electronic health record (EHR) within time frame required according to applicable regulatory, licensure, and accreditation standards.

•      Scan documents from each patient’s chart into Vision electronic health record on daily basis, following chart completion review by RN.
