Executive Assistant Role:
As a member of the company’s executive support team, the Executive Assistant is responsible for providing comprehensive and varied administrative support for members of the Senior Leadership Team and planning and coordinating employee events at our Denver based headquarters (HQ) and in the U.S. as needed. The role’s primary purpose is to enhance the efficiency and effectiveness of assigned executive leaders by coordinating, prioritizing and reviewing a wide variety of confidential and cross-functional requests, The ideal person in this role is efficient, organized, upbeat, and able to work with multiple executives and teammates across our locations.
Consistent with our hybrid work policy, this position will be required to be on-site at our downtown Denver HQ on Tuesdays and Wednesdays at a minimum, and based on executive needs, additional days in the office may be needed, along with infrequent U.S. travel. Our hybrid work schedule is also subject to change for all HQ-based team members.
Requirements
Responsibilities:
- Using discretion, judgement, and knowledge of our organization, provide daily / as-needed coordination and support for assigned executive senior leaders.
- Support requests may include general administrative, calendar management, report generation, expense and travel coordination, departmental event planning, and other special projects.
- Collaborate with the Senior Executive Assistant and the Senior Office Assistant as needed.
- Cover the front desk/office assistant responsibilities during vacations and other absences.
- Provide meeting support including scheduling, logistics, agendas, minutes, and tracking action items.
- Provide support for visitors, ensuring a positive experience.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Conduct research, assemble and analyze data to prepare draft reports and documents.
- Manage projects independently, requiring discretion and independent decision making.
- Participate/co-lead the employee activities committee including creating, planning, and executing company events including annual holiday party, summer picnic, and other department and functional events.
- Prepare event communications and work with internal communications team to get them distributed according to communications review and approval process.
Knowledge, Skills & Abilities:
- Experience with providing varied executive support for senior executives in several U.S. time zones.
- Ability to interface well with all departments within the company and to represent assigned executives in a highly professional manner.
- Ability to recognize and maintain confidential information, operating with the highest level of discretion and professionalism.
- Demonstrate effective communication skills and professionalism both internally and externally to the company.
- Possess a high degree of proficiency with MS Office products including Word, Excel, PowerPoint and Outlook.
- Expertise in creating executive level PowerPoint presentations.
- Experience tracking expenses and submitting expense reports with accuracy.
- Demonstrated ability to handle multiple tasks simultaneously.
- Exceptional organizational skills required.
- Ability to meet defined deadlines, work well under pressure, and be flexible with changing priorities.
- Strong interpersonal and communication skills are required.
- Excels in a team-oriented work environment.
- Ability to work independently with limited supervision.
