In this highly collaborative position, you'll serve as a trusted resource for students pursuing studies in French, Spanish, Italian, Portuguese, and related disciplines. Working closely with faculty, undergraduate leadership, and university partners, you'll coordinate academic programming, advise students, manage complex administrative processes, and help ensure the success of a vibrant and diverse academic community.

What You'll Do
Coordinate Academic Programs and Course Scheduling
- Lead the planning, coordination, and administration of undergraduate and graduate course offerings within the Department of Romance Studies.
- Partner with faculty, the Director of Undergraduate Studies (DUS), department leadership, and the University Registrar to develop course schedules that meet student, departmental, and university requirements.
- Manage course requests, new course proposals, revisions, special topics, and cross-listed courses through university systems.
- Monitor enrollment trends and collaborate with faculty to adjust course capacities and classroom assignments as needed.
- Ensure course information, synopses, classifications, and scheduling details are accurate and published on time.
Support Student Success and Academic Advising
- Manage faculty advisor assignments for majors and minors.
- Serve as a key resource for undergraduate students regarding degree requirements, transfer credits, study abroad opportunities, foreign language requirements, and graduation clearance.
- Coordinate the review and approval process for transfer credit and study abroad coursework.
- Partner with students, faculty advisors, program directors, and university offices to address academic questions and support student progression toward degree completion.
- Maintain accurate student records and monitor academic milestones.
Administer Undergraduate Programs and Events
- Coordinate independent studies, honors theses, undergraduate research activities, and graduation distinction processes.
- Plan and execute major departmental events, including:
- Undergraduate Research Symposium
- Graduation Reception and Awards Ceremony
- Blue Devil Days
- Majors Fair
- Manage event logistics, communications, scheduling, room reservations, vendor coordination, publicity, and participant engagement.
Provide Administrative and Operational Leadership
- Serve as a liaison between students, faculty, departmental staff, and university offices.
- Prepare reports, correspondence, statistical information, and program documentation for departmental leadership.
- Maintain departmental databases, records, procedural documentation, and communications.
- Oversee undergraduate program content on departmental websites and university platforms, ensuring information remains current, accurate, and accessible.
- Support departmental communications, faculty evaluations, and academic planning initiatives.
Foster Collaboration Across Duke
- Build strong partnerships with campus stakeholders, including the Registrar, Global Education Office (GEO), Trinity College of Arts & Sciences, Language Program Directors, faculty, and other administrative offices.
