About the role

The primary role of Business and Financial Affairs (BFA)is to oversee the fiscal management, business operations and built environment of the University. We provide leadership and support for the stewardship of the financial and physical environment to strengthen the University of Denver community with an unwavering commitment to diversity, equity and inclusion and a continual focus on the efficiency and effectiveness of business operations.

Position Summary

The Executive Assistant will play a crucial role in maintaining the efficiency and effectiveness of the Business and Financial Affairs office. They must be an effective, professional, and a diplomatic liaison for the Senior Vice Chancellor to a variety of audiences including University leadership, staff, trustees, alumni, and other constituents (internal and external). This employee must be able to multi-task and prioritize many competing deadlines and timelines. Confidentiality and attention to detail and accuracy are essential to success in this position. The individual in this position must demonstrate a commitment to the principles of Inclusive Excellence.

Essential Functions

  • Manage calendar for the Senior Vice Chancellor. Plan and coordinate the Senior Vice Chancellors schedule, providing support in prioritizing the Senior Vice Chancellor’s time and attention.
  • Provide administrative assistance and logistical support for the Chancellor’s Cabinet
  • Provide scheduling support for individuals reporting to the SVC BFA.
  • Serve as occasional backup support for the Senior Vice Chancellor team
  • Compile and support in the design of presentation materials for Board of Trustees from BFA units.
  • Provide support for department and sub-committee meetings as needed, including but not limited to preparing agendas and materials for meetings, managing the board portal and cataloging minutes for meetings.
  • Complete expense reports and travel arrangements for the SVC.
  • Serve as the building coordinator for the Mary Reed Building and emergency contact for streamlining communications and coordinating building work and emergency access as needed.
  • Under the CFOs direction, reimagine, develop and implement a robust BFA website which highlights reporting divisions and their primary functions.
  • Assist the SVC’s leadership team with specific projects as deemed appropriate and assist with general BFA needs, as necessary.
  • Perform other duties and support services as requested and assigned by the SVC.

Required Qualifications

  • Minimum of 3 years’ experience supporting senior level staff.
  • Prior experience in providing administrative support at the executive level.

Preferred Qualifications

  • Bachelor’s degree
  • Ability to translate financial information into graphical presentations
  • Experience in utilizing Tableau software
  • Experience working on a diverse team

Working Environment

1. Standard office environment.
2. Unexpected interruptions occur often and stress level is moderate to high.
3. Noise level is quiet to moderate.

Physical Activities

1. Ability to sit in front of a computer for an extended period of time.
2. Occasionally required to move about the office/campus with the capability of transporting objects up to 20 lbs.
