POSITION SUMMARY
The Coordinator, Group Sales will work side by side with the Director, Group Sales & Marketing to promote, sell, and present shows at the Dr. Phillips Center for the Performing Arts. The Coordinator, Group Sales is responsible for staying knowledgeable on show and facility information and must provide prompt and courteous response to all clients.
ESSENTIAL JOB FUNCTIONS/RESPONSIBILITIES
• Responsible for communicating with clients on contract fulfillment of orders. Responsible for answering phones and returning calls. Transcribe, prioritize, and distribute messages accordingly.
• Maintains accurate guest accounts by making reservations and invoices in Tessitura, processing ticket orders, printing tickets, and packaging for mail. Responsible for maintaining confidentiality of customer information.
• Follows payment plan deadlines and contacts clients for deposit and final payments.
• Quickly responds to emails regarding ticket requests, payment information, additional seating, and general group sales inquiries.
• Conducts market research to find needed information on potential clients.
• Occasionally attends vendor fairs, promotional events, and client meetings.
• Pulls reports in Tessitura and compiles data. Utilizes data for bundling, target-based mailings, and general Group Sales administration.
• Moderates packaged events, such as chat backs and backstage tours. Meets and greets Group Leaders prior to shows.
• Follow and support all operational policies and procedures. Assimilate into the arts center culture through understanding, supporting and demonstrating the core values.
• Process ticket sales through face-to-face and telephone communication using the Tessitura ticketing system. Prepare printed tickets and associated materials for postal processing.
• Answer phones with a prompt and courteous attitude. Direct callers to appropriate staff/departments when calls are not related to ticket sales, shows or general venue information.
• Maintain a professional and friendly relationship with other departments, colleagues, and partners.
• Able to remain calm under pressure. Ability to work effectively with internal and external customers, some of whom will require high levels of patience, tact, and diplomacy. Maintain Dr. Phillips Center standards of customer service at all times.
• Able to effectively communicate in English in both written and oral forms.
• Other duties as assigned.
KNOWLEDGE AND EXPERIENCE
• 2 year degree, and 2 years of relevant experience in group sales, customer service, theater arts, box office sales, or other related fields and/or similar education and work experience combination.
• Preferred experience with Tessitura or other ticketing software.
• Strong computer skills and knowledge of Microsoft suite.
• Strong interpersonal skills.

• Ability to multi-task in a fast-paced environment.
• Strong communication skills, both verbal and written.

SPECIAL CONDITIONS OF EMPLOYMENT
• This position requires the ability to work a variable schedule, evenings, weekends, and holidays to meet operational needs.
