About the role

The Assistant Management position in the Business Office is responsible for the oversight and management of facility and professional claim billing as it pertains to physician credentialing, claim submission, denial resolution, claim payment application and daily cash reconciliation.  Assists with the hiring, training and evaluating of staff.  Responds to both internal and external variables to promote and sustain a steady cash stream for our organization.   Participates in the development of and oversees the implementation of operating policies and procedures to monitor and improve efficiency of operations.  This position works in direct collaboration with the needs of the revenue cycle departments, including Patient Access, Health Information Management, Managed Care, Revenue Integrity and Utilization Review. Maintains confidentiality of both financial and patient related information and ensures privacy standards are upheld. Reports directly to the Senior Manager of the Business Office.

 

  • Proactively identifies areas of opportunity for improvement and effectively communicates to manager.
  • Remains current with core knowledge of specific payer policies, contracts, and administrative bulletins.
  • Creates and prepares all necessary documentation related to the staff education and training.
  • Monitors productivity and conducts quality reviews on staff performance.
  • Hire, train, coach, and mentor direct reports.
  • Supports department and senior staff with project work and office management tasks.
  • Communicates with IT department and outside vendors when necessary to assure functionality of systems and system interfaces.
  • Develops and documents system procedures and workflows.
  • Ensures that all billing practices adhere to Federal and State regulations.
  • Ability to use independent judgment to manage and implement both short and long term goals.
  • Manages and coordinates the day to day activities of the department and operations.
  • Other duties to support department operations as assigned by manager.
  • Demonstrates knowledge of the population-specific differences and needs of patients in appropriate, specific populations from neonate through adolescence and applies them to practice.
  • Demonstrates cultural sensitivity in all interactions with patients/ families and co-workers.

Supervisory Responsibilities:

  • Plans the daily work and determines the techniques used to complete the work for 3-9 per team (or total 36) full-time equivalent Customer Service Reps., Reimbursement & Posting, Follow-up & Billing, Selfpay Collections, Coding and Credentialing staff.
  • Participates in the selection, hiring and orientation process; partners with (leader) in all phases of the performance management process (establishing performance standards, development, ongoing feedback/coaching, mentoring, check-ins, rewarding and appraisal) for assigned staff.
  • Facilitates teamwork and cooperation among staff, effectively follows-up and resolves routine employee relations issues, seeking support from (leader) with more complex issues; Highly involved in termination decisions.
  • Educate staff on team building, problem solving and conflict resolution.
  • Assists with analysis of monthly budget variances and yearly budget planning.
  • Implement staffing plan, schedule staff and ensure appropriate staffing levels. Tracks employee time on the timekeeping system
  • Sets priorities for the team to ensure task completion; coordinates work activities with other leaders.  
  • Participates in a variety of administrative managerial activities such as the development, implementation, and enforcement of policies and procedures; and maintains appropriate department files (e.g. employee files, incident reports, etc.).
  • Decisions are guided by policies, procedures and the organizational plan; receives guidance and oversight from manager.

 

Education and/or Experience:

  • High School Diploma, GED, or a higher level of education that would require the completion of high school, is required.
  • Associates degree from accredited college or university preferred.
  • 2-3 years experience in healthcare billing and at least one year supervisory experience.
  • Previous EPIC systems experience/certification preferred. 

Knowledge, Skills and Abilities:

Knowledge:

  • Previous hospital billing experience required.
  • System software,  EPIC knowledge a plus.
