We are seeking a highly organized and detail-oriented Executive Administrative Assistant to primarily support the Chief Financial Officer and generally assist the General Counsel and Capital Markets executive team at GoodLeap. The successful candidate will be entrusted with providing comprehensive administrative support, including calendar management, travel arrangement, overseeing office operations, and assisting with document preparation. This role requires exceptional organizational skills, attention to detail, and the ability to multitask efficiently.

We are seeking a highly organized and detail-oriented Executive Administrative Assistant to primarily support the Chief Financial Officer and generally assist the General Counsel and Capital Markets executive team at GoodLeap. The successful candidate will be entrusted with providing comprehensive administrative support, including calendar management, travel arrangement, overseeing office operations, and assisting with document preparation. This role requires exceptional organizational skills, attention to detail, and the ability to multitask efficiently.
Essential Job Duties & Responsibilities:
- Calendar Management: Manage and maintain executives’ calendars, including scheduling meetings, conference calls, and events as needed. Coordinate with internal and external stakeholders to ensure seamless scheduling and avoid conflicts.
- Travel Arrangements: Coordinate travel logistics for team members, including booking flights, accommodations, and transportation. Ensure travel itineraries are well-planned and meet the needs of the individuals involved.
- Office Management: Oversee day-to-day office operations, including registering/greeting visitors, answering phone calls, managing incoming and outgoing mail, and maintaining office supplies inventory.
- Document Preparation: Assist with document preparation tasks, including drafting correspondence and creating presentations. Ensure all documents are accurate, well-organized, and adhere to company standards.
- Business Support: Demonstrate a willingness to learn about the company’s business operations and industry. Support team members with ad-hoc projects and tasks as needed, demonstrating flexibility and adaptability.
Required Skills, Knowledge & Abilities:
- 5-7 years of experience as an Administrative/Executive Assistant or in a similar role.
- Familiarity with travel booking platforms and calendar management tools.
- Excellent organizational and time management skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong communication skills, both written and verbal.
- Ability to prioritize tasks and manage multiple deadlines effectively.
- Attention to detail and accuracy in all work.
- Ability to work independently with minimal supervision.
- Must maintain a high level of confidentiality.
