Job Description:

Salary Range: $66,200 - $80,000 per year; DOE

This position provides pre-award administrative proposal support for Mary Lou Fulton College for Teaching and Learning Innovation (MLFC) faculty and research investigators throughout the proposal development, review, submission, and post-submission process. The role assists with sponsor requirements, eligibility guidance, budget forms, internal routing, cost-sharing documentation, compliance review, and coordination with the Office of Research and Sponsored Project Administration (ORSPA) and other university partners. The position supports proposals and related award actions for a wide range of federal, state, foundation, nonprofit, and private sponsors, including revised budgets, scopes of work, certifications, and sponsor requests. The role also serves as a resource to faculty by developing templates, timelines, checklists, presentations, and other tools that improve proposal preparation and sponsored project understanding. This position requires strong communication, judgment, organization, problem-solving, teamwork, and the ability to manage urgent or competing requests while maintaining effective working relationships.

Essential Duties:

  • Perform funding searches to help identify potential funding opportunities.

  • Review funding announcements, sponsor guidelines, and application instructions to identify and communicate eligibility requirements, required forms, budget requirements, submission requirements, and internal routing needs.

  • Contact sponsors as needed to clarify application guidelines, submission instructions, or required materials.

  • Draft proposal budget materials, including budget justifications, sponsor budget forms, cost share documentation, and acceptable budget formats in coordination with the PI and unit.

  • Act as a resource for subrecipients with questions related to subrecipient commitment forms and required proposal materials.

  • Prepare and complete sponsor required administrative forms, including current and pending support, biosketches, certifications, and other application documents.

  • Complete internal routing materials using information provided by the PI and unit.

  • Upload proposal files and application materials for sponsors requiring electronic submission.

  • Review proposals against sponsor guidelines and submit applications to the Office of Research and Sponsored Project Administration (ORSPA) for institutional review, signature, and transmittal to the sponsor.

  • Assist with post-submission action items requested by the sponsor, including Just In Time requests, revised budgets, revised scopes of work, additional certifications, and related materials.

  • Serve as an administrative resource to faculty and research investigators during proposal development, pre-submission review, internal routing, and sponsor submission.

  • Support ORSPA during award review or negotiation by helping obtain additional information.

  • Develop and maintain proposal support resources, including templates, checklists, timelines, training materials, and sponsor guidance documents.

  • Maintain effective working relationships with faculty, staff, sponsors, subrecipients, and university partners.

Desired Qualifications:

  • Experience supporting proposal development, grant submissions, sponsored project administration, or research advancement services in a university, nonprofit, government, or related setting.

  • Strong working knowledge of proposal development requirements, sponsor guidelines, internal routing processes, and grants and contracts administration.

  • Strong familiarity with federal submission systems and OMB requirements, including working knowledge of Grants.gov, Research.gov, and other sponsor portals.
