Purpose
The University seeks a Director of Presidential Events to be part of the University Events and Experience team. The Director will be a leader who can provide direction and execution for all Presidential events held in the Office of the President. The Director will work closely with the Chief Experience Officer and Executive Director to develop quality events that engage a multitude of constituents. This individual will provide oversight, including conception, direction, staff coordination, and production, for events ranging from fundraising events, meetings, luncheons, dinners, and other official events held in the office suite.
Responsibilities
- Work closely with the Executive Director, University Events and Experience, Chief Experience Officer & the Office of the President on the vision and execution of office events.
- Promote a positive and collaborative work environment focusing on customer service and quality work product.
- Oversee all aspects of Presidential-level events, including breakfasts, lunches, dinners, receptions, and any other event programming taking place in the President’s suite (or in other venues when assigned).
- Coordinate and arrange all facets of required event logistics with facilities, student affairs, space holding, event parking, security, and outside vendors (catering, décor, AV, etc) for each event.
- Track all event expenses ensuring they are within the approved budget
- Consult with the President’s office and the University Events and Experience office to compile guest invite lists and interact with the University Events and Experience Communications team on physical mailings, digital invite distribution, RSVP tracking, and updating.
- Compile check-in lists, assist at special functions, greet guests, coordinate and assist with registration, and ensure guests are provided with name tags upon arrival.
- Attend and direct all functions (additional staff assigned or hired as needed) and support and assist other UEE team members on their events as available.
- Assist with University Events and Experience gift program with Executive Assistant to Chief Experience Office.
- All other duties as needed or assigned to assist the University Events and Experience team.
Required Qualifications
- Experience working in a luxury hotel and/or event planning company.
- High comfort level working with and alongside C-level leaders.
- Knowledge of formal place settings, high-level etiquette and service styles.
- Five plus years’ experience with increasing responsibility as an event leader working on high- level events of various sizes/scopes.
- Highly organized with strong project management skills and demonstrated attention to detail.
- Ability to think strategically, develop and implement designs making the most of internal and external university resources.
- Open to inspiration, ideas and expertise from those around them with the ability to creatively collaborate to meet project goals. Ability to take tough feedback and use for future growth.
- Excellent written, verbal and interpersonal communication skills.
- Time management skills -- can work well under pressure and in a dynamic environment and be results-driven.
- Proven ability to develop and work within a budget.
- Ability to work non-traditional hours if needed including weekends/evenings. Ability to travel as needed.
Relevant education and experience may be substituted as appropriate.
Preferred Qualifications
More than the required years of experience.
Additional education/advanced degree in arts field.
Experience in higher education environment and/or development events.
Salary Range
$90,000+
