Description

Position Overview:


This position is responsible for working closely with the Chief Development and Project Officer (CDO) to assist in development and campaign related administrative tasks. The successful candidate will be responsible for managing calendars, task lists, meeting scheduling, donor correspondence, event planning, and other administrative duties as assigned. 

The successful candidate will need to understand the development department landscape, and how to solicit information from team members in order to best support the CDO. The successful candidate will also need to have an understanding of fundraising and donor relations. To thrive in this role, the successful candidate will need to have prior experience in an administrative support role, have an independent learning style, be willing to take initiative, and anticipate needs of the CDO. Previous experience in fundraising is highly desired, in addition to a passion for the arts and music.


DUTIES & RESPONSIBILITIES:


· Support CDO with fundraising initiatives, including gift tracking, drafting donor communications, major donor stewardship, etc 

· Appropriately represent CDO to all constituents by welcoming visitors, reviewing correspondence and drafting replies; arranging dinners and other functions; answering questions and meeting requests from staff and external constituencies 

· Serve as gatekeeper and timekeeper 

· Coordinate dept-wide meetings both on-site and off-site, including the preparation and planning of logistics, materials and catering 

· Schedule appointments, conference calls and videoconferences 

· Arrange domestic and foreign travel 

· Prepare and reconcile expense reimbursements 

· Assist in the preparation and planning of logistics and materials for meetings and events related to the CDO’s portfolio and campaign

· Coordinate, execute and/or deliver a variety of special projects and other administrative duties as directed by the CDO

Requirements

POSITION QUALIFICATIONS:


· Bachelor’s Degree

· 2+ years of experience in Development or Executive/Administrative Assistant role; preferably with some experience in donor relations and financial literacy

· Outstanding problem-solving skills, with the ability to manage simultaneous projects, priorities and deadlines 

· Fastidious attention to detail

· Ability to exercise good judgment in a variety of situations

· Discretion of the highest order; ability to maintain confidentiality

· Strong verbal and written communication skills required

· Track record of delivery

· Sharp analytical abilities and proven reasoning skills
