Job Summary

The Associate Director, Events is an integral member of the Advancement team at the University of Chicago’s Booth School of Business. This position provides varying levels of support, oversight, and tactical execution of events sponsored by Chicago Booth Advancement including annual events such as Reconnect, Management Conference, and Economic Outlook, as well as alumni engagement, stewardship, and cultivation events.

This position is not eligible for employer-sponsored employment authorization.

Responsibilities

  • Plans, coordinates and executes Advancement events partnering with the Director of Events.
  • Independently manages event kickoff, working group, and debrief meetings.
  • Utilizes event technologies such as Zoom, VMix, and event registration systems.
  • Manages all components of the event registration platform to ensure data integrity is maintained.
  • Creates post-event reports for partners and leadership.
  • Maintains event budgets, manages vendor contracts, and executes payments.
  • Works in collaboration with partners outside of Advancement and Booth, such as the program offices, to support select events.
  • Actively participates in event strategy sessions with leadership, partners, working groups, and other Booth and University departments as needed or as directed.
  • Works with the Director and the events team in the creation of new and improved event programming, in person, hybrid, and virtual, that corresponds and helps to achieve Advancement and Booth leadership goals.
  • Keeps up with market research and current event trends and procedures.
  • Develops and executes day-to-day event logistics, and other complex assignments with minimal guidance from others.
  • Reviews and finalizes the guest lists, assists with mailing invitations and creates complex brochures for the event.
  • Performs other related work as needed.


Minimum Qualifications

Education:

Minimum requirements include a college or university degree in related field.


Work Experience:

Minimum requirements include knowledge and skills developed through 5-7 years of work experience in a related job discipline.

Preferred Qualifications

Education:

  • Bachelor’s degree. 

Experience:

  • Background in event support, with increased levels of responsibility. 
  • Background working for a university or non-profit.

Technical Skills or Knowledge:

  • High proficiency with Google Suite, Microsoft Word, Microsoft Excel, Access, and Microsoft Outlook.
  • Learn and master event-related software and systems specific to the Booth Advancement office.
  • Familiar with event registration platform Cvent.
  • Understanding of managing virtual event technologies, such as Zoom and Vmix.
