Intrepid is a specialty investment bank and provides M&A, capital raising and strategic advisory services to entrepreneurs, family-owned companies, private equity sponsors and major corporations, through dedicated banking teams with deep industry sector experience and over three decades of experience. The firm is based in Los Angeles, with additional offices in San Francisco, New York, Chicago, and Charlotte. Intrepid is the middle-market advisory arm of Mitsubishi UFJ Financial Group (NYSE: MUFG), one of the largest financial groups in the world.

The selected colleague will work at an MUFG office or client sites four days per week and work remotely one day. A member of our recruitment team will provide more details.

We are seeking an energetic, client-focused Administrative Assistant to join our Intrepid Investment Bankers team to provide office-based support.  You will partner with internal and external clients to manage travel, meetings, calendars, events, meals, and supplies. This position reports directly to the Director of Administration.

Major Responsibilities:

  • Manage all incoming calls and assist incoming visitors.
  • Receive and greet incoming visitors in a professional manner; direct them to the proper individual and assist them with their needs
  • Perform administrative and office support activities such as overseeing conference room calendar, maintaining files, and other ad-hoc projects.
  • Open the office every morning at 8:00 a.m. and maintain all areas of the office, including, but not limited to, reception, kitchen, conference rooms, huddle rooms, production, and all storage space.
  • Process business expenses.
  • Answer complex inquiries which require thorough knowledge of departmental policies and procedures
  • Type confidential materials in the form of memoranda, correspondence, and letters from drafts
  • Compose letters and agenda
  • Conduct research and data analysis for special and on-going projects
  • Maintain executive’s calendar, coordinate and arrange large and/or recurring meetings, luncheons, conferences and seminars
  • May prepare materials necessary for meetings, etc.

Qualifications:

  • A positive attitude, collaborative spirit, creative mind, and strong work ethic.
  • Self-motivated, problem-solver, and a good communicator with the ability to multi-task.
  • Effective writing, editing, proofreading, and verbal communication skills.
  • Strong proficiency with Microsoft Office Suite, specifically Outlook, PowerPoint, and Excel.
  • Bachelors or Associates degree preferred but not required.

The typical base for this role is between $55k- $85K depending on job-related knowledge, skills, experience and location.
