Position Summary

As the first point of contact for our patients, the Patient Services Coordinator plays a vital role in creating a welcoming and positive patient experience. This position is responsible for front desk operations, scheduling, patient check-in and rooming, payment collection, insurance support, and administrative coordination to ensure the clinic operates efficiently.

The ideal candidate is organized, friendly, detail-oriented, and passionate about providing exceptional customer service.

Responsibilities

  • Welcome patients, check them in, and room them for appointments.
  • Schedule appointments and coordinate patient flow.
  • Enter and update patient demographic and insurance information accurately.
  • Answer incoming phone calls professionally and direct calls as needed.
  • Review and explain insurance benefits, billing questions, and out-of-pocket costs with confidence and compassion.
  • Collect and process patient payments.
  • Monitor and respond to clinic emails, text messages, and faxes throughout the day.
  • Complete bi-monthly inventory and keep snacks and supplements stocked.
  • Maintain a clean, organized, and welcoming reception area.
  • Prepare bank deposits twice weekly and maintain End of Day reports.
  • Support providers and clinic staff with administrative tasks.
  • Attend monthly, quarterly, and annual meetings as needed.
  • Maintain compliance with HIPAA and company policies.

Qualifications

  • High school diploma or equivalent required (Associate degree preferred).
  • Previous healthcare or medical front office experience preferred.
  • Excellent customer service and communication skills.
  • Strong organizational skills with the ability to multitask in a fast-paced environment.
  • Comfortable discussing insurance benefits and patient financial responsibilities.
  • Proficient with computers, email, and electronic communication.
  • Ability to maintain confidentiality and professionalism.
  • Must successfully pass a criminal background check.

Clinic Hours

  • Monday: 8:00 AM – 5:00 PM
  • Tuesday: 8:00 AM – 7:00 PM
  • Wednesday: 8:00 AM – 1:00 PM
  • Thursday: 7:00 AM – 5:00 PM
  • Friday: 8:00 AM – 5:00 PM
  • Saturday: 8:00 AM – 12:00 PM (Required to work 2 Saturdays per month; 3 Saturdays during months with five Saturdays.)
  • Sunday: Closed
