Assistant Director of Admissions

Description

Clearfork Academy is seeking a driven and mission-aligned Assistant Director of Admissions to support and elevate our admissions and call center operations. This in-person leadership role will act as a player/coach: responsible for managing the day-to-day performance of the admissions team while personally engaging in closing inbound inquiries across all levels of care (detox, RTC, PHP, and IOP). 

You will directly oversee a team of 4 full-time admissions coordinators and 2 overseas contractors, ensuring 24/7 lead coverage, adherence to scripts and compliance guidelines, and strong pipeline performance from inquiry to admission. You’ll also work cross-functionally with marketing, clinical, and utilization review teams to ensure families experience a responsive, professional, and empathetic intake journey. 

Requirements

• Respond to inbound inquiries via phone, web, or referral sources 
• Guide families through the admissions process with urgency and empathy 
• Assess client fit and coordinate clinical assessments 
• Maintain documentation and lead status accuracy in Zoho CRM 

Operational & Data Excellence 

• Review and enforce compliance with call scripts, confidentiality, and Clearfork’s values 
• Audit Zoho CRM and CallTrackingMetrics data daily to ensure follow-ups and tagging are accurate 
• Drive adherence to the admissions team's performance metrics, including: 
• Call Answer Rate = 90% within 30 seconds 
• Abandonment Rate = 5% 
• Inquiry-to-Assessment Rate = 60% 
• Assessment-to-Admit Conversion = 40% 
• CRM Documentation Accuracy = 95% 
• Follow-Up Completion = 90% 

Collaboration & Continuous Improvement 

• Collaborate with Director of Admissions & COO to refine workflows and strategy 
• Interface with marketing to provide feedback on lead quality and trends 
• Identify and troubleshoot bottlenecks in the admissions pipeline 
• Assist in onboarding and training of new admissions team members 

Qualifications: 

• 3+ years in healthcare admissions, call center management, or sales leadership
