About the role

POSITION SUMMARY:

Working collaboratively with the clinical team, the Unit Secretary provides a variety of clerical, customer relations, and support services to patients, families, visitors, and healthcare team members. The unit secretary will perform a variety of administrative duties in support of the administrative and clinical functions on the unit to which he/she is assigned. 

Position: Unit Secretary Float Pool (Per Diem)

Location: Med Surg Float Pool

Schedule: Per Diem

ESSENTIAL RESPONSIBILITIES / DUTIES:

  • Serves as unit receptionist, greeting visitors and, when necessary, directing personnel to various locations. 
  • Checks unit and individual e-mail at least once a shift. 
  • Serves as a resource/preceptor to new unit secretaries and RNs regarding computer training needs/skills. 
  • Answers telephones using proper etiquette and relays messages/information as necessary.           
  • Pages Codes as directed using correct emergency number. 
  • Serves as a communications liaison between unit and other departments. 
  • Serves as a communication liaison among patients, family members, doctors and nurses. 
  •  Participates in staff meetings/conferences as appropriate.
  • Attends monthly unit     secretary meeting. 
  • Maintains a professional demeanor to patients, professional staff,   
  • Distributes mail. 
  • Arranges patient transport
  •  Brings all sign-in sheets to staffing office daily. 
  •  Keeps informed of any changes in report procedures
  •  Maintains accurate records as needed
  •  Maintains and updates Patient Assignment board. 
  • Keeps area of Nurses station neat and clutter free. 
  • Serves as unit's "Downtime Resource" for all staff. 
  • Orients new staff to DT procedures and DT packet. 
  • Assures that the Downtime packet is accessible and well stocked with requisition forms needed during any downtime period. 
  • Attends unit secretary monthly meetings. 
  • Performs other duties as needed.

JOB REQUIREMENTS

EDUCATION:

  • High school education or equivalent  

EXPERIENCE:

  • Hospital experience or medical office experience

KNOWLEDGE AND SKILLS: 

  • Demonstrated proficiency with various computer software systems, including Microsoft Office (Word, Excel, Outlook, etc.)
  • Ability to use and troubleshoot basic office equipment.
  • Excellent interpersonal skills and ability to interact appropriately with nursing staff, patients, families/visitors, physicians, and other hospital staff in a fast-paced environment.
  • Organizational skills to effectively set priorities and efficiently complete assigned work.
  • Ability to effectively apply basic administrative skills, e.g., typing, filing, telephone skills, etc.
  • Work requires physical ability to meet core job requirements in accordance with practice setting demands for the patient populations regularly served
