The Administrative Support Coordinator II is responsible for the overall administrative operation of the graduate programs within the School of Nursing and will act as the lead to student workers. The position serves as a resource for the school faculty, staff, and students, and works collaboratively with the SON staff and faculty to cover day-to-day operations and special projects.

In addition, the position will work collaboratively with SON Admin team and staff to maintain instructional, non-instructional, operating, and San Diego State University Research Foundation budgets. Other duties include but are not limited to: the processing of faculty and student appointments, compilation of reports related to faculty workload; oversight of the faculty retention, tenure and promotion (RTP) process and other personnel-related activities; assist in compiling information and drafting annual accreditation reports and documents; primary administrative support to director and committees within the school; provision of training to faculty and staff on university, college and school procedures and policies.

The person holding this position is considered a 'mandated reporter' under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment.

 

Responsibilities

The Administrative Support Coordinator II is responsible for but not limited to:

 

Position Specific Responsibilities 95% 

  • Provide administrative assistance and support to the Director of Graduate Nursing programs and department leadership on all aspects of school operations, including SON grants.
  • Assist Director and Graduate Specialty Chairs with launching new graduate programs.
  • Consults with faculty and SDSU leadership on graduate curricular updates and works within Modern Campus to ensure University curricular approval.
  • Engage in outreach activities that involve the dissemination of information to a diverse population of students to assist students in pursuing their educational and career goals by providing factual data about occupational and educational requirements related to student aptitudes and interests.
  • Conducts various research and data collection assignments in support of the APRN Concentration chair and Director.
  • Manages regular and ongoing coordination between administrative offices in San Diego and Imperial Valley. Maintains graduate databases and student files.
  • Update and coordinate with the director and appropriate faculty, the General Catalog and Graduate Bulletin revisions.
  • Coordinate and provide administrative support for student evaluation processes.
  • Works closely with Graduate Concentration Chairs and Director to maintain CCNE accreditation, BRN approval, and WASC.
  • Coordinates program marketing including website updates.
  • Requires occasional travel to Imperial Valley
  • Provide graduate student advisement and support in the development of student curricular plans.
  • Assist Clinical Placement coordinator with securing graduate student clinical placements and health requirements.
  • Maintains and communicates graduate handbooks, policies, procedures, information, and instructions to a diverse population of faculty, staff, and students.
  • Facilitate student orientation while creating plans of study and following up various times a semester on academic progress.
  • Verify data by accessing university databases and file systems. Construct tables and documents for data analysis and reporting.
  • Coordinate with others in the School of Nursing and university to finalize data for inclusion in reports.
  • Prepare drafts of all reports for review by the Director and Graduate Concentration Chairs.
  • Coordinate with others in the School of Nursing and university to finalize SON grant proposals. Assist in the preparation of drafts of all reports for review by Investigators.
  • Assist with preparations related to accreditation reviews and site visits.
