About the role

Position Summary
The Senior Manager, Fleet & Samples Operations oversees the execution of field fleet logistics and pharmaceutical sample distribution. The role ensures vendor performance, operational reliability, and compliance while collaborating closely with the Field Strategy & Operations team to meet field force needs.

Key Responsibilities
Fleet Operations

  • Ability to operate independently to manage Fleet Vendor relationship including day to day operations and issue resolution.  Escalate issues as appropriate to senior management.
  • Proactively source and develop ideas to improve fleet program, based on driver feedback and industry standard, delivering an excellent user experience to enrolled drivers.  Develop & Maintain roadmap for ongoing evolution of the Otsuka Fleet Program.
  • Manage day-to-day field fleet program, including vendor relationships and issue resolution.
  • Monitor fleet usage, ensure maintenance schedules, and manage cost effectiveness.
  • Support the development and communication of fleet policies and driver training resources.
  • Partner with the Field Strategy & Operations team to ensure the fleet program supports field deployment needs.

Samples Management & Compliance

  • Ability to operate independently in the management of the Sample Vendor relationship including but not limited to oversight of distribution and inventory of pharmaceutical samples to field representatives.
  • Proactively engage with industry resources to stay abreast of evolving trends within sample programs, bringing insights and recommendations to senior leadership to help ensure Otsuka Sample Programs remain in line with industry standards. Develop & maintain roadmap for ongoing evolution of the Otsuka Sample Program.
  • Oversee distribution and inventory of pharmaceutical samples to field representatives.
  • Ensure compliance with regulatory tracking and reconciliation requirements.
  • Coordinate with Sales and Marketing on sample allocation and planning.
  • Support audit readiness and compliance reviews.

Operational Efficiency & Field Partnership

  • Proactively partner with the Field Strategy & Operations team to ensure timely, efficient support for the field and minimize disruption by removing operational obstacles.
  • Identify and implement process improvements across fleet and sample functions.
  • Develop and maintain SOPs to ensure operational consistency and compliance.
  • Coordinate with internal teams (IT, Legal, Compliance) and external vendors to execute programs effectively.

Qualifications & Experience
Required:

  • Bachelor’s degree in Business, Supply Chain, Logistics, or a related field.
  • 5+ years of experience in fleet or samples management, preferably in a regulated industry.
  • Strong cross-functional experience working with field support or commercial operations teams.
  • Knowledge of compliance requirements related to pharmaceutical samples.

Preferred:

  • Pharmaceutical or healthcare industry experience.
  • Experience with fleet management platforms or sample distribution systems.

Minimum $131,153.00 - Maximum $187,550.00, plus incentive opportunity: The range shown represents a typical pay range or starting salary for candidates hired to perform the work.
