Description:
The Music Division Administrative Assistant is responsible for providing day to day administrative support to Music Division staff to help produce curricular and co-curricular projects and interdisciplinary events. This role works most with the Associate Director of Artistic Programs while also offering additional management for the office of the Dean and Director of the Music Division all to facilitate workflow and project management.
This position is fully on-site, with some evenings and weekend hours required to support rehearsals, performances, and other special events. The salary for this role is $52,000 (non-exempt).

Role Responsibilities:
- Offers administrative support for the Associate Director of Artistic Programs, the Dean and Director of the Music Division, and other Music Division staff as required to further projects and institutional goals
- Gives administrative and production support to help produce an array of school events including but not limited to master classes, concerto competitions, multidisciplinary projects, and collaboration with other divisions
- Provides administrative support for co-curricular events with visiting faculty, guest artist visits, and residencies to ensure that all elements of these projects run smoothly
- Develops project materials such as timelines, contact sheets, set-up memos, guest lists, program copy, and facilitates artist communications
- Assists in the coordination of accommodations for artists (housing, transportation, meals)
- Uses administrative systems to document impact and streamline workflow, including tracking student data, updating master calendar, and reserving rehearsal spaces
- Helps administer and track student short-term professional leave requests
- Assists in budget and expense tracking, scheduling, and other related duties as needed
Minimum Requirements:
- Bachelor’s degree
- Knowledge of classical music and/or working experience in the field
- Proficiency in Microsoft Office and database/project management software
- Excellent writing and communication skills, including ability to proofread and draft documents
- Demonstrated ability to work with confidential information and diverse populations
- Strong interpersonal skills and sensitivity to the many needs of a fast-paced educational and performing arts community
- Demonstrated ability to work independently
- Demonstrated ability to manage multiple tasks simultaneously and to plan and oversee complete projects independently
- Ability to work effectively as a member of a team
- Ability to take notes in meetings
Preferred Background:
- Minimum of two (2) years of experience in an educational or non-profit organization
