Key Responsibilities

Payroll Processing

  • Own preparation and processing of weekly and biweekly payroll for 20,000+ employees
  • Ensure accuracy and timeliness by reviewing payroll data for completeness and resolving discrepancies
  • Serve as a lead resource for troubleshooting payroll issues and escalating as appropriate
  • Collaborate cross-functionally with HR, Benefits, Finance, and Time & Attendance teams

Payroll Tax Compliance

  • Lead periodic compliance audits across all payroll tax obligations to ensure ongoing compliance
  • Identify discrepancies and drive resolution with internal stakeholders
  • Build and maintain audit documentation, internal controls, and compliance tracking processes
  • Serve as the internal subject matter expert on payroll tax compliance matters
  • Own quarterly compliance tracking and ensure timely implementation of regulatory updates
  • Support SOX compliance requirements as applicable to payroll and tax activities

Tax Vendor Management

  • Serve as the primary point of contact for the company’s payroll tax vendor (BSI)
  • Ensure taxes are assigned accurately and processed on a timely basis
  • Monitor vendor performance and escalate issues to leadership as appropriate
  • Coordinate between the vendor and internal payroll operations to resolve discrepancies
  • Manage vendor configuration updates resulting from regulatory or system changes

Tax Configuration & Reconciliation

  • Own end-to-end payroll tax reconciliation and ensure accuracy of all tax filings
  • Monitor tax configuration in Workday Payroll to ensure proper withholding across all jurisdictions
  • Review and reconcile payroll tax adjustments, amended returns, and retroactive payments
  • Lead year-end tax activities including W-2 preparation, ACA reporting, and final reconciliations

Earnings, Deductions & System Configuration

  • Own configuration and maintenance of earnings and deductions in Workday Payroll
  • Partner with HR and Benefits to ensure accurate deduction setup including benefits and retirement plans
  • Validate system configuration changes and assess downstream payroll impact before deployment

Data Analysis & Reporting

  • Prepare ad-hoc, monthly, quarterly, and annual payroll reports ensuring accuracy and timeliness
  • Perform payroll data analysis to identify trends, errors, and process improvement opportunities
  • Own data reconciliation between payroll and internal systems (Time & Attendance, Accounting)

Process Improvement

  • Proactively identify and lead payroll process improvements, including post-implementation optimization
  • Own assigned process improvement initiatives from scoping through execution
  • Partner with cross-functional teams to drive system enhancements and best practices
  • Document processes and contribute to team cross-training and knowledge transfer

Qualifications

Education & Experience

  • Bachelor’s degree in Accounting, Finance, Business Administration, or related field
  • 5+ years of payroll experience with deep knowledge of processing, compliance, and tax
  • Hands-on experience with Workday Payroll required; post-implementation experience strongly preferred
  • Demonstrated experience owning payroll tax compliance audits and vendor relationships
  • Familiarity with multi-state payroll tax laws, garnishments, and year-end reporting

Skills & Abilities

  • Strong analytical and problem-solving skills with the ability to manage large data sets accurately
  • Ability to operate independently, own complex workstreams, and drive to resolution without close direction
  • Effective communication and cross-functional collaboration skills
  • Advanced Excel proficiency (pivot tables, VLOOKUP, data modeling)
  • Ability to handle confident
