Summary:

The I2P Associate – Operations is responsible for supporting the end-to-end invoice-to-pay process, ensuring operational continuity, vendor satisfaction, and compliance with BMS controls. This role is critical for maintaining business stability and supporting strategic projects, acquisitions, divestitures, and other initiatives in the area.

Responsibilities:

Functional Process Support

  • Support invoice processing, vendor management, and support business needs.
  • Key Team member to support operational activities to ensure excellence.
  • Engage with BPO to support I2P process
  • Identify opportunities for improvements and support company changes.

Operational and Strategic Engagement

  • Participate in strategic projects and initiatives such as integration, new acquisitions and divestitures
  • Support key business units and areas that are critical for BMS
  • Support SOX compliance and financial audits.

Manual Payment Reconciliation

  • Identify and communicate payment reconciliation discrepancies to relevant teams.
  • Ensure timely corrections and process improvements.
  • Review and validate manual payments as part of SOX controls

Critical Vendor Management

  • Collaborate with critical vendors to prevent potential issues
  • Conduct meetings with vendors to address targeted items and prevent credit holds or shipment stops.

Company/System Migration Support

  • Support migration of invoices and payments from legacy systems to SAP.
  • Support the hypercare period ensuring smooth system/process migration for new acquisitions and divestitures.

Mail Handling and Coordination (Tampa Office)

  • Handle incoming mail and coordinate with local teams for timely processing of critical documents.
  • Manage live checks, returns, and refunds, ensuring time-sensitive resolution.

Required Skills & Qualifications

  • Bachelor’s degree in finance, Accounting, Business Administration, or related field.
  • Experience in invoice-to-pay operations, vendor management, or related finance roles.
  • Strong analytical and problem-solving skills.
  • Excellent communication and stakeholder management abilities.
  • Experience with SAP or similar ERP systems preferred.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Attention to detail and commitment to operational excellence.
