This is the career/senior level of the administrative hierarchy. Employees at this level provide administrative support to work groups in the organization. At this level, the individual has developed specialized skills or is multi-skilled through considerable on-the-job experience and completes work with a limited degree of supervision. This position typically supports multiple managers and serves in a non-exempt capacity.
Responsibilities
- Prepare and update functional reports and records requiring compilation of information from multiple sources
- Responsible for proper storage of and vaulting QA records that satisfy regulatory and records retention requirements
- Update procedures/drawings/technical specifications and perform periodic audits to ensure compliance
- Responsible for proper posting and vaulting of qualification records, which requires extensive training through corporate support to receive qualification to perform
- Responsible for Operations shift scheduling to ensure compliance with manning requirements and regulatory work hour limits
- Management of Emp Center and Timesheets, as well as conducting audits annually for Emp Center
- Receives, screens, and directs incoming calls, visitors, mail and e-mail.
- Maintain files and cabinets
- Responsible for arranging business travel, coordinating meeting arrangements, and tracking expenses
Preferred Qualifications
- Strong computer skills
- Demonstrated knowledge and experience with Microsoft Office suite applications, including Excel and PowerPoint.
- Demonstrated ability to multi-task and prioritize assignments.
- Demonstrated ability to communicate (both written and oral) in a clear, concise and effective manner.
- Ability to effectively interface with multiple across a department, e.g. managers, supervisors, employees
- Experience working in a fast-paced, demanding environment with changing conditions.
Working Conditions
Performs work in normal office environment
May be required to provide assistance in multiple areas as needed.
Position may be located at a generating plant, regional office, etc.
Prolong sitting at desk/computer.
May be required to travel for training and/or assistance at other sites and may be required to work overtime.
