Nature of work: Performs accounting work associated with processing accounts payable/receivable documentation.

General Description / Primary Purpose:

  • Reviews and assigns work to AP Reps.
  • Processes data through an automated accounting system to record items such as operating expenses, accounting payables/receivables, travel expenses and other miscellaneous journal entries.
  • Processes and oversees vendor invoices, supplier direct pay invoices, independent contract agreements and other formal documents requesting payment for goods and services.
  • Reviews budget and account information on payments to ensure payment is coded to the appropriate account.
  • Processes refunds, stop payments and voids checks.
  • Reconciles discrepancies in amounts charged to accounts, which involve routine and recurring transactions, research differences.
  • Contacts departments and/or vendors for required correction to documentation.
  • Reviews transactions rejected by the accounting system.
  • Researches the reason for the rejection (e.g., coding, mathematical error) and makes the necessary corrections.
  • Audits daily work and serves as a customer service liaison for Accounts Payable area and the Controller’s Office to assist with inquiries from both the campus community and external vendors.
  • Assists with training new Accounts Payable staff members.
  • Interprets and applies established University Board of Trustees and State Board of Governors policies relating to vendor payments and travel reimbursements.
  • Serves as a back-up for the Accounts Payable Specialist, Accounts Payable Coordinator, and Assistant Controller: Disbursements.
  • Monitors the AP Inbox
  • Supervises the Accounts Payable Representatives and Student Assistants, which involves trouble shooting problems and following up to meet compliance deadlines.
  • During declared campus emergencies, this position may be required to perform specific job-related duties at a designated off campus location or place of residence.
  • Other duties assigned by the Assistant Controller: Disbursements.

Departmental Requirements:

The successful candidate for this position will possess:

  • Basic English-language writing skills for completion of various paperwork tasks.
  • The ability to read customer checks, waivers, pending forms, and similar written material. 
  • Ability to work independently and establish and maintain effective working relationships with other departments and University staff.
  • The ability to always maintain a pleasant disposition and positive attitude.
  • Excellent customer service skills and the ability to communicate effectively, both written and orally, when dealing with students, coworkers, the university community in general, vendors, other agencies, etc.
  • Common sense with good judgment, be a self-motivated team player, and a flexible person who understands balancing customer service requests with risks associated with granting them.
  • The ability to work under pressure and employ good problem-solving techniques in order to deal effectively and diplomatically with others.
  • Knowledge of procedures, policies, and deadlines associated with Accounts Payable and the Controller's Office.
  • The ability to perform duties in confined spaces.

Required Qualifications: High school diploma and four years of experience directly related to the job functions. Directly related college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.
