Job Description

As a valued colleague on our team, you will provide support to another individual or group of individuals by handling correspondence, managing calendars and appointments, arranging conferences and conference calls, making travel arrangements, and providing other administrative tasks.

This is a non-exempt (hourly) position.

THE IMPACT YOU WILL MAKE
The Senior Executive Assistant (Hybrid) role will offer you the flexibility to make each day your own, while working alongside people who care so that you can deliver on the following responsibilities:

  • Manage the day-to-day calendars of senior management.
  • Coordinate all aspects of the Principal (SVP) appointments, meetings, receptions, and conference calls.
  • Prepare and review materials and correspondence for meetings.
  • Coordinate delivery by various stakeholders of the creation/modification of presentations, spreadsheets, and other various documents.
  • Coordinate travel arrangements as well as prepare and distribute schedules/agendas for travel.
  • Ensure collaboration with teams or business groups in achievement of divisional goals or objectives.

Qualifications


THE EXPERIENCE YOU BRING TO THE TEAM

Minimum Required Experiences

  • 2+ years’ experience supporting senior management in an administrative capacity.


Desired Experiences

  • Bachelor degree or equivalent
  • Excellent writing and proofing skills are strongly preferred.
  • Prior experience planning and managing departmental projects.


Skills

Operational Excellence including improving and overseeing operations
Skilled in documentation and database reporting for the purposes of analysis, data discovery, and decision-making with the use of relevant software
Experience gathering accurate information to explain concepts and answer critical questions
Working with people with different functional expertise respectfully and cooperatively to work toward a common goal
Adept at managing project plans and resources to ensure successful project completion
Experience helping an organization to plan and manage change in effort to meet strategic objectives
Strong judgment as it relates to sharing and protecting confidential information. 
Strong ability to learn company-specific and department-specific policies, procedures, and software applications.

Tools

Experience using SharePoint
Skilled in Excel and Word
Skilled in Microsoft Teams, Outlook
Skilled in using OneNote
Skilled in PowerPoint presentation development and editing
