About the role

Nemours is seeking a GME Program Coordinator to join our team in Philadelphia, PA. The GME Program Coordinator supports the in the management and oversight of one or more fellowship training programs in accordance with the Accreditation Council for Graduate Medical Education (ACGME), specialty boards, and subspecialty boards. They must work independently, assisting the Director of GME and the Program Directors in a wide variety of program management and administrative duties, facilitating the evaluation process and preparing and maintaining records for program accreditation. The GME Program Coordinator creates and maintains trainee rotation and departmental education conference schedule and works with fellows by providing guidance and direction for the successful completion of the training program. He or She will work closely with the entire NCH DE Graduate Medical education team, Nemours clinical departments and NCH DE administrative leadership, as well as with accrediting agencies to ensure program compliance.

 

Essential Functions:

 

  1. Provides administrative assistance to the administrative staff of the fellowship training program including the Program Director, Associate Program Director, Director of Graduate Medical Education, fellows in training.
  2. Assists with the development and implementation of division, department and institutional procedures and policies as pertinent to department office operations.
  3. Assists in development of policies and procedures in response to various government and regulatory bodies (e.g. RRC, ACGME, , ABP, NRMP, ERAS, AAP, etc.); assists in the development and implementation of and compliance with all policies and procedures relevant to the Residency Program.
  4. Coordinates and/or supports the recruiting for the fellowship training programs and other programs as needed or assigned.  Performs initial screening of applicants to the program within existing protocols; manages all listings, updates, and operational aspects of the residency program.
  5. Coordinates all aspects of the trainee application process including responding to inquiries, evaluating applications, reviewing, and verifying credentials, scheduling interviews, generating follow-up correspondence, and maintaining appropriate records. 
  6. Assures house staff is appropriately licensed, insured, HIPAA trained, have appropriate immunization status, and comply with background check and drug screening.
  7. Supplies orientation materials to trainees as needed
  8. Serves as gatekeeper for approval for computer access and use of Medical Records. Submit Epic requests for all house staff and coordinates scheduling of appropriate training on hospital systems.
  9. Maintains house staff  and faculty scholarly activity
  10. Prepares annual documentation needed for accreditation.
  11. Serves as a member of, develop agendas, take minutes, and implement decision and actions for residency/fellowship committees (i.e., CCC Committees, Program Evaluation Committees (PEC), etc)
  12. Assists in creating rotations schedules and tracking off-site rotations
  13. Serves as an advisor to fellows regarding licensing, Visa Sponsorship, and examinations
  14. Coordinates and facilitates trainee checkout process, exit interviews with program director, and preparation of all final evaluations
  15. Assists finance Department in data collections for GME reimbursement.
  16. Maintains system of review of affiliation agreement and PLAs prior to expiration.
  17. Enters and maintains listing of house staff information using accreditation and hospital GME database (New Innovations)
  18. Verify and process check requests for background check and laboratory vendors
  19. Supports development of fellowship program budget; assembles data for budget development; conducts research for new Program initiatives; investigates costs of new projects and research new funding resources.
  20. Monitors all expenditures for fellowship program; prepares for signature all check requests for travel expenses and education allowances for pediatric house staff.
  21. Support the coordination of special events for the training  program, retreats, graduations, banquets, orientation.
  22. Provide back-up to Fellowship/Visiting Student Coordinator as needed.

Qualifications:

  1. Bachelors Degree or equivalent experience required
  2. 1-3 years of related experience
