Purpose

Perform daily administrative coordination of technical shop and shipping/receiving area, supporting the effective operation, equipment maintenance, and university inventory procedures for the department of Biomedical Engineering's departmental, instructional and research activities.

Responsibilities

  • Ensure daily administrative coordination and operation of the technical shop and BME shipping/receiving area via organizational best practices. In collaboration with Building Manager, coordinate student worker coverage for the shop window, package receipt coverage, and customer service to students, faculty, staff, and visitors. Maintain organization of technical shop area and supplies, establishing protocol for efficient use and access.

  • Perform departmental inventory according to university policy and procedures. Collaborate with department faculty and research staff and university contacts to complete all inventory tasks annually. Manage inventory evaluations during faculty or research staff departures.

  • Assist Building Manager with scheduling and communication to building constituents related to building maintenance, lab safety protocols, and operations. Triage email requests for the shop area, assessing and routing requests to ensure effective and quick resolutions. Act as back-up to Building Manager.

  • Maintain department instructional laboratory expendables and tool inventory and coordinate checkout. Coordinate maintenance, repair and replacement of instructional equipment as needed. Coordinate outgoing shipments through eShipGlobal; process VP9 vouchers for payment. Serve as backup for room reservations and access requests. Assist other areas of the department as needed to prepare for events.

  • Other related functions as assigned.

Required Qualifications

  • High School diploma or GED with 7 years of clerical experience, including one year at either the Administrative Assistant or the Administrative Associate level

  • Bachelor's degree with 3 years of clerical experience

  • Relevant education and experience may be substituted as appropriate

Preferred Qualifications

  • Working knowledge of UT-Austin policy and process for inventory management

  • Mechanical experience

Salary Range

$50,000 + depending on qualifications

Working Conditions

  • Standard office conditions

  • Repetitive use of a keyboard at a workstation

  • May work around chemical fumes

  • May work around chemicals

Work Shift

  • Monday – Friday, flexible between the hours of 7 am – 6 pm, with core hours of 8 am – 4 pm.

  • Occasional evening, weekend, or overtime hours may be required.
