Arcadis is looking for a Part-time Project Administrator, to support our Construction Management Team, Marketing Professionals, Certified Project Managers (CPMs) and Project Administrators within our Resilience Water Business Area in the San Diego and Riverside areas!
Role description:
We are looking for an energetic Project Administrator for this remote position who will be responsible for supporting our construction management teams in the field, office management team, client and marketing team members, and project engineering teams with day-to-day tasks. Project specific work will include tracking progress of various ongoing projects, preparing reports for management and client use, arranging team/project meetings, monitoring schedules, project budgets and preparing and distributing routine correspondence related to the projects, for a variety of project teams simultaneously. The ideal candidate is comfortable working in an independent manner and initiating communication with project field staff.
Role Accountabilities:
This role offers opportunities to work on diverse projects and administrative assignments. The candidate in this role must be comfortable in performing a wide variety of tasks utilizing various software tools and systems, while working remotely. Position will report to our Construction Principal while supporting three to four Senior Construction Managers and their teams.
Additional responsibilities will include:
- Supporting construction management teams on multiple projects with tasks such as managing project files, inspection reports, and other data, scheduling meetings and recording and transcribing meeting minutes.
- Preparing and editing reports and other project correspondence as assigned.
- Regular tracking, monitoring, preparation, and distribution of project information and client deliverables.
- Assisting managers with setting/scheduling appointments, making travel arrangements, expense report preparation.
- Assisting with gathering information and data to support proposal development and experience with preparing resumes, project descriptions and proposals desired.
- Assisting with review and support of contractor and client invoice preparation.
- Participate on monthly project reviews with Project Team and Project Managers.
Required Qualifications:
- 8 years of technical/administrative experience.
Key Skills/Attributes:
- Proficiency with Microsoft Office applications particularly Word, Excel & PowerPoint.
- Ability to work under time constraints to accomplish goals and objectives in a timely fashion.
- Ability to tackle a wide variety of diverse assignments and projects simultaneously.
- Strong attention to detail.
- Familiarity with Document Control Software (DCS) systems
Preferred Qualifications:
- Demonstrable understanding of engineering administrative functions in municipal/governmental environment.
- Previous experience with public works contracts.
- Previous experience with municipal water/wastewater project administration.
- Experience with document control software platforms.
- Familiarity with public works construction.
