Your New Role...
The Executive Legal Assistant will provide a full range of administrative support to a Senior Vice President, a Vice President and a Director who are part of a team handling a wide variety of legal matters related to the development and production of motion pictures for Warner Bros. Pictures (“WBP”), New Line, DC Studios (“DCS”) and Warner Bros. Animation (“WBA”). The successful candidate will work closely and collaboratively in a fast-paced, exciting entertainment production environment with the department’s attorneys, assistants, and colleagues across WBP, New Line, DCS and WBA, as well as our production partners and talent representatives. This individual must be proactive and able to prioritize well while balancing ever-changing needs in a demanding film production environment. It is an essential function of this position that the work be performed from the Company’s offices, pursuant to the Company’s hybrid office policies, in order to provide real-time, in-person support to the department, fostering seamless coordination and collaboration across creative and operational teams.
Your Role Accountabilities...
Executive Support – Provides a full range of administrative support including preparing, proofreading, and redlining legal documents, including drafting contracts and correspondence. Assists with meeting preparation and presentations. Provides a professional, warm and resourceful telephone presence (placing, receiving and troubleshooting calls for direct supervisors) and courteous e-mail correspondence on behalf of executive clients.
Contract Administration and Filing – Maintains development, production, and other paper and digital files, and keeps project filing current using departmental tools. Follows up on outstanding contracts and prepares documents for execution, processes and distributes various documents, and updates various reports.
Calendar Management – Maintains Outlook calendar and organizes meetings (in-person and by video). This individual must be able to effectively coordinate the executives’ schedules to ensure timely responses and coordination with various productions and other departments to ensure meetings and presentations are executed seamlessly
Departmental Tasks – Provides back-up support to other executives and assistants within the department as needed. Provides general assistance with miscellaneous departmental tasks.
Qualifications & Experience...
8+ years of experience working in a similar role at a law firm or in-house at a studio or network legal, talent agency or business affairs department required
Undergraduate degree preferred.
Comprehensive proficiency with cloud-based document and database systems including Microsoft Office programs, video conferencing software (Zoom, Teams), and other legal software.
Effective organizational skills, strong attention to detail, and excellent problem-solving skills are required.
Strong time management skills (proven abilities to prioritize tasks, multitask, meet deadlines proactively and reliably) and ability to work efficiently in a fast-paced and high-volume environment.
Professional demeanor and the ability to be discreet and diplomatic, maintaining confidentiality at all times.
Excellent oral, written and interpersonal communications skills and emotional intelligence are essential.
Ability to build and maintain business relationships internally and externally and be calm and flexible under pressure and amidst changing priorities. Working independently and also collaboratively, to be flexible, dependable and results-oriented are crucial abilities for success in this role.
