About the role

This is a temp to hire, hybrid position that can be worked from a combination of at home and in the Santa Monica, CA office as needed.

WHO WE'RE LOOKING FOR

Reporting to the Senior Director, National Member Engagement (NME), the Coordinator will provide administrative support to the NME team and the Los Angeles Chapter (LAC) as well as other Chapter markets as needed. You will also provide regular event support both onsite and in the planning process for the LAC. You have exceptional organizational skills, are adaptable, and can juggle multiple tasks seamlessly. You have a strong administrative background and some relevant event experience, are detail-oriented, and excel in fast-paced environments.

WHAT YOU'LL DO

Oversee key administrative workflows and duties for multiple Chapters, support Governance operations related to Chapter processes, and execute other assigned tasks. You will also work closely with the Los Angeles Chapter team to provide onsite and planning support for events, board meetings and other Chapter activations.

  • Schedule & calendar team meetings.
  • Assist with travel needs for Chapter Executive Directors, Chapter Staff, Chapter Board, and event talent as needed.
  • Prepare and submit expense reports and reconcile corporate card statements for Chapter Executive Directors.
  • Oversee project and event planning tasks as needed such as meeting notes, vendor research, invoicing, and contracting as well as onsite setup, volunteer management, check-in support and talent handling.
  • Support the creation and management of digital event pages for Chapter and National programming, including RSVP and guest list management, event communications, and attendee data tracking.
  • Work closely with other NME Coordinators to maintain effective team organizational systems and workflows such as shared calendars, inboxes, network file systems, and task platforms in support of team Manager directives.
  • Support the NME team with various duties related to nationwide member initiatives, service opportunities, and programs including New Member Welcome week, the Entertainment Law Initiative (committee administration and the annual GRAMMY week event), cross-chapter collaborative programs, Advocacy initiatives (Music Advocacy Day and GRAMMYs on the Hill), and MusiCares member engagement (The Day That Music Cares).

SKILLS & EXPERIENCE

  • Bachelor’s degree in music business or related fields, or equivalent work experience.
  • 2+ years of experience as an administrative assistant, project coordinator, or similar.
  • Strong proficiency in MS Office (Outlook, Word, Excel, PowerPoint). Familiarity with Airtable, Canva, Vivenu, Zapier and/or Swoogo event marketing platform a plus.
  • Demonstrated ability to maintain composure under pressure and make decisions/problem solve in high-stress situations.
  • Outstanding organizational, time management, and multitasking skills.
  • Adaptability to change and openness to innovative ideas.
  • Effective verbal and written communication skills.
  • Proven ability to foster teamwork and contribute positively to team dynamics.
  • Strong leadership qualities including conflict management.
  • Must be proactive with the ability to manage upwards.
  • Ability to uphold the highest levels of integrity and ethics.

SALARY AND BENEFITS

The starting rate for this position is $24.10 to $26.10 per hour, benchmarked against industry standards. Rates for positions required to be in specific geographic locations reflect the corresponding labor market.
