Job Description
We are seeking a proactive and detail-oriented Administrative Assistant to support daily operations and enhance organizational efficiency. This role is ideal for someone who thrives in a dynamic environment and enjoys balancing multiple responsibilities, including expense management, scheduling, vendor coordination, and employee engagement initiatives.
Key Responsibilities:
Expense Handling
-Process and track employee reimbursements and corporate expenses.
-Maintain accurate records of expenditures and assist with budget reconciliation.
-Collaborate with finance to ensure timely and compliant expense reporting.
Calendaring
-Manage complex calendars for leadership and team members.
-Schedule meetings, appointments, and events across multiple time zones.
-Coordinate logistics for internal and external meetings, including room bookings and technology setup.
Order Placing and Handling
-Place and manage orders for office supplies, equipment, and other resources.
-Track deliveries and resolve issues with vendors or service providers.
-Maintain inventory and ensure timely replenishment of essential items.
Facility and Vendor Coordination
-Serve as the primary point of contact for facility-related needs and vendor relationships.
-Coordinate maintenance, repairs, and office improvements.
-Negotiate contracts and monitor vendor performance to ensure quality service.
Employee Engagement
-Support planning and execution of employee engagement activities, such as team events, celebrations, and wellness initiatives.
-Assist with internal communications and culture-building efforts.
-Gather feedback and contribute ideas to enhance employee experience.
Basic Qualifications
- High school diploma or equivalent
- Typically five or more years of experience in administrative and support staff activities
Preferred Skills/Experience
- Well-developed reading, writing and mathematical skills
- Ability to manage multiple tasks/projects and deadlines simultaneously
- Demonstrated administrative and clerical skills
- Ability to identify and resolve exceptions and to interpret data
- Effective verbal and written communication and grammatical skills
- Proficient computer navigation skills using a variety of software packages including Microsoft Office applications
