This role is essential in delivering a seamless, high‑quality candidate and new‑hire experience. The Recruiting Coordinator will support all aspects of interview logistics, applicant tracking, communication, and onboarding operations. The ideal candidate thrives in a fast‑paced environment, manages multiple priorities with ease, and delivers white‑glove service to candidates, recruiters, hiring managers, and internal stakeholders.

New Hire Support & Onboarding

  • Serve as the primary point of contact for new hires from offer acceptance through start date, providing timely guidance and white‑glove support.
  • Design and deliver engaging new‑hire orientation programs that clearly introduce Firm policies, culture, and resources.
  • Coordinate onboarding logistics such as schedules, seat assignments, technology access, and systems setup in collaboration with HR, IT, and other stakeholders.
  • Track and ensure completion of all pre‑hire tasks (e.g., onboarding paperwork, policy acknowledgements, background checks, reference checks).
  • Assist with maintaining and enhancing onboarding materials, communications, and orientation content.

Candidate Experience & Interview Coordination

  • Schedule and coordinate candidate interviews, acting as a liaison between recruiters, hiring managers, and candidates.
  • Support onsite candidate logistics, including greeting candidates, coordinating seating, and ensuring a polished, smooth interview experience.
  • Create, post, and maintain job postings within the firm’s applicant tracking system; assist with the preparation of offer letters and related materials.
  • Support feedback‑collection efforts to evaluate and continuously improve candidate and new‑hire experiences.

Recruiting Operations & Systems Management

  • Assist recruiters and hiring managers with full‑cycle recruiting support to ensure compliant, efficient, high‑quality processes.
  • Update and maintain accurate candidate and new‑hire information within the Firm’s applicant tracking and HR systems.
  • Assist with preparing department invoices for submission and tracking payment schedules.
  • Participate in ad‑hoc recruiting projects, including research, market mapping, and pipeline development.
  • Identify opportunities to strengthen coordination, communication, and administrative processes; share insights and recommendations with the HR team.
  • Partner with the HR team to explore AI‑driven enhancements to scheduling, candidate communications, and process efficiency.
  • Bachelor’s degree in human resources, business administration, or a related field required.
  • 1–4 years of experience in recruitment, HR, administrative support, or a related role.
  • Experience using applicant tracking systems or HRIS platforms; Oracle HCM or Workday preferred.
  • Exceptional organizational, communication, client service, and project‑management skills.
  • Strong interpersonal skills and the ability to interact professionally with candidates and senior stakeholders.
  • Proven ability to deliver high‑touch, white‑glove service in a fast‑paced environment.
  • Experience building or editing workflows, templates, or automated communications within HR systems a plus
  • Interest in experimenting with new HR technologies to improve candidate experience and team efficiency.
  • High degree of integrity, discretion, and confidentiality.
     

This position will require physical presence in Proskauer’s offices on a regular basis (at least 3x per week, or more, if it becomes the policy of the Firm). The anticipated compensation range for this position is $60,000-$75,000. The actual salary offered will be based on a number of factors including but not limited to the qualifications of the applicant, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location in which the applicant lives and/or from which they will be performing the job.
