Reporting to the Regional Human Resources Director, US operations, the HR Project Manager is responsible for managing company-wide Compliance, HR governance including the intake, prioritization, project management, project reporting, change management, distribution, and communication mechanisms. Key activities include being main point on people initiatives, coordinating, planning, and executing project governance, tracking status of initiatives, actual vs plan, managing data collection and reporting and creating and executing overall internal communications standards for projects and initiatives.

Main Duties and Responsibilities:

  • Proactively manages and supports employee engagement initiatives from start to finish.
  • Lead and manage core HR compliance processes including, but not limited to, Form I-9 verification and re-verification, mandatory labor law posters and employee notices, unemployment claim responses, and regulatory reporting requirements.
  • Manage governance processes for recommending and updating HR policies and procedures; maintain a centralized library of regional and local policy documents. Communicate and support policy/process changes driven by legislative or regulatory updates.
  • Serve as a key point of contact and provide hands-on support for HR compliance initiatives - drive planning, perform gap analyses, track progress, coordinate with internal stakeholders and field teams, ensure consistent adoption of agreed-upon practices and report out as part of action plan progress and implementation.
  • Support field teams on compliance related inquiries, updates and project initiatives; research and coordinate with vendors to troubleshoot and resolve issues.
  • Partner with Legal on compliance audits, including risk assessments, and implementation of corrective actions and plans.
  • Proactively identify and present critical information to support complex decision making.
  • Prepare reports and presentations based on analysis and present to leadership.
  • Conduct root cause analysis and develop actionable insights and lessons learned to inform ongoing process improvements.
  • Actively plan internal communication and engagement strategy including but not limited to setting targets and measuring progress and effectiveness of plan.
  • Support HR leadership to design, edit, and manage internal communications across various channels (e.g., newsletters, Town Halls, emails, memos), ensuring consistency and alignment with organizational goals.
  • Advice senior executives on effective messaging, aligned with strategic objectives, to guide clear and consistent delivery and advance stakeholder engagement.
  • Partners with IT to identify, leverage and integrate technology that will increase the effectiveness and timeliness of internal communications.
  • Build strong working relationships across multiple levels of the organization by understanding stakeholder needs and delivering tailored solutions.
  • Foster and maintain good working relationships with vendors, leveraging them where appropriate and ensure proper upkeep with accounts. 
  • Take ownership of special projects and perform additional duties as assigned.

Qualifications

Education:

  • Bachelor’s degree required in Business Admin, HR, or Communications.

Work Experience:

  • At least 5 years of progressively responsible HR Generalist experience including internal employee communications experience, and some departmental project management experience in a large corporate HR department
  • Self-starter, with ability to manage tasks and handle multiple priorities with minimal supervision
  • Prior experience working in a large organization that is deadline and project driven
  • Experience working in transportation, hospitality, manufacturing, or food service environment desired but not required

Technical Skills: (Certification, Licenses and Registration)

  • PHR or SPHR preferred
  • Strong experience with HRIS (Workday and UltiPro) and Microsoft Office software suite, particularly Word, Excel, and PowerPoint
