PURPOSE
Under general supervision from the Director of Digital Learning and Academic Innovations (DLAI), this position provides direct administrative support to DLAI office personnel. This position works collaboratively with business and administrative personnel in the Library and units across campus, implements administrative procedures, and strives toward independent learning, judgement, and action related to administrative function. This position requires professional communication with colleagues, students, and guests and requires the ability to effectively address tasks thoughtfully, with thorough attention to detail, and with appropriate and timely follow-up. This position may supervise student employees.

RESPONSIBILITIES
Functional Area 1: Administrative Support
Percent Effort: 45%

  • Maintains department calendars, assists with reservations, scheduling meetings, planning events, greeting guests, and answering phones.

  • Maintains and tracks inventory for office supplies.

  • Oversees general funds and accounts, reconciles and submits procurement expense reports and travel expense reports as needed. 

  • Collaborate with appropriate personnel to maintain records related to department spending and budget forecasting. 

  • Manage and monitor office equipment and equipment requests.

Functional Area 2: Communication Support
Percent Effort: 25%

  • Monitor deadlines to meet department communication plan milestones throughout the year.

  • Support the department in continuously improving department resources related to standard operating procedures, knowledge base articles, and websites of our services.

  • Support the development of digital graphic assets for distribution via social media or other established communication channels within our organization. 

  • Maintain a current list of point of contacts for digital learning professional/institutional memberships, and educational technology partners.

Functional Area 3: Training Event Support
Percent Effort: 25%

  • Maintains logistics checklist for each event, gathers needed supplies, orders supplies, and recruits student employee volunteers for event support.

  • Manages department event or meeting invitations, arranging for location and equipment, typing minutes, and preparing information packets.

  • Manage suppliers and work closely with vendors, and event services.  

  • May create and disseminate evaluation surveys of training events as needed.

  • Support the management of digital file repositories of department files, training records, and assets.

Functional Area 4: Other
Percent Effort: 5%

  • Assists with the supervision and training of student employees.

  • Other duties as assigned.

QUALIFICATIONS

  • High school diploma.

  • Four years of related experience.

  • Additional education may be considered as a substitution for the minimum requirements.

    • Associate degree and two (2) years of related experience.

    • Bachelor’s degree.

SALARY $18.07 Hourly ($37,585.60 Annually Approx.)
